About the Role
The Legal Assistant provides comprehensive administrative and legal workflow support to the attorney team handling commercial and entertainment agreements and related legal matters. The ideal candidate is a detail-oriented, proactive professional who thrives in a fast-paced environment and handles confidential information with discretion, integrity, and professionalism.
Responsibilities
- Support contract intake, monitor assigned matters, and promptly follow up or escalate missing information, stalled items, and approaching deadlines.
- Coordinate the collection of contextual information, supporting documents, and approvals from internal stakeholders.
- Receive and route routine reviews and legal notices to applicable specialists and track through completion.
- Prepare agreement summaries, deal summaries, approval memoranda, and other routine documents using attorney instructions and approved templates; proofread and finalize materials for attorney review.
- Prepare clean execution copies and signature packages, confirming all documents, exhibits, and approvals are complete and properly organized.
- Circulate deal approval memoranda to appropriate stakeholders and proactively follow up on outstanding approvals.
- Coordinate agreement execution through DocuSign or other approved processes, including routing signature packages, monitoring status, and escalating delays.
- Distribute fully executed agreements and related materials; update matter records and confirm documents are properly stored.
- Coordinate post-execution activities, including initiating payment requests and supporting smooth handoffs to contract administration, finance, and business teams.
- Maintain trackers and matter-management tools for agreements, approvals, execution status, and renewals; provide clear status updates to attorneys.
- Maintain organized legal files in accordance with department naming, filing, and storage practices.
- Assist with maintaining templates, checklists, and intake forms.
- Identify recurring administrative or workflow issues and suggest practical improvements.
- Manage calendars and coordinate meetings and training sessions, including scheduling, materials preparation, and follow-up.
- Arrange domestic and international travel, including flights, hotels, ground transportation, and itineraries.
- Prepare and process expense reports and reimbursements.
- Triage incoming requests, gather necessary context, and route to the appropriate attorney or contact.
- Provide general administrative support, including handling correspondence, ordering supplies, and supporting special projects.
Requirements
- 3-5 years of experience providing administrative or legal support in a corporate/In house counsel legal department, law firm, or professional services environment.
- Tech savvy, skilled with intermediate to advanced expertise using the M365 suite (especially Excel, Word, and Lists); hands-on experience with project management tools (e.g., JIRA) and e-signature platforms (e.g., DocuSign), and a drive to master new systems; experience with Power Platform preferred.
- Highly organized, detail-oriented, and able to manage multiple priorities, work independently, collaborate effectively, meet deadlines, and follow matters through completion.
- Proactive and service-oriented, with sound judgment and clear written and verbal communication skills.
- Able to handle confidential and sensitive information with discretion and professionalism.
- Best-in-class service approach with the ability to interact in a positive and professional manner with all levels of employees, including senior management, songwriters, managers, and attorneys.
- Comfortable working collaboratively and providing a high level of support to direct supervisors.
- High emotional intelligence and the ability to maintain composure in high-stress situations.
- Strong sense of urgency and responsiveness.
- Must be a fast learner and agile, able to adapt quickly to changing priorities and new systems.
- Consistently demonstrates advanced problem-solving skills, exercises sound judgment, and makes independent decisions.
- Strong follow-up skills and the ability to independently track and follow through on action items.
- Ability to work standard 37.5 hours weekly, plus overtime if needed.
- Must be authorized to work in the United States.
