About the Role
The Administrative Director, Surgery and Plastic Surgery is responsible for the day-to-day operations for the Departments of Surgery and Plastic Surgery, including administrative oversight, financial planning, and operational direction and evaluation.
Responsibilities
- Provides daily oversight and management of staff resources, patient and staff schedules, supplies, equipment and environment of care with a focus on efficiency, patient throughput, quality and safety.
- Leads projects and initiatives focused on achieving institutional goals and promoting growth of the services.
- Facilitates the development and implementation of operational workflows, policies and procedures, and staff development activities.
- Facilitates the administrative process of clinical/departmental activities including recruiting and on-boarding, maintaining records, organizing meetings, seminars, trainings, etc.
- Establishes and monitors goals, objectives and service standards for the departments.
- Works with other hospital teams and key stakeholders to drive efficiency.
- Engages with staff and establishes an effective communication strategy to support staff engagement.
- Maintains awareness of new and emerging technologies to manage the process of innovative change effectively.
- Partners with appropriate leadership to initiate clear communication to patients, attendings and stakeholders during emergency situations.
- Prepares operational and capital budgets.
- Develops strategies for cost containment and maximization of revenues.
- Works closely with finance on budgeting, including ongoing monitoring, understanding variances, and maintaining close fiscal responsibility.
- Collaborates with Chief of Service and designees around value-based initiatives to reduce unnecessary costs while driving patient quality and safety.
- Works with Chief of Service and designees to identify opportunities for revenue capture through effective clinical documentation.
- Proactively works with the Chief of Service and AVP on future capital needs and shepherds new/replacement equipment through the capital review process.
- Fosters ongoing mentoring, coaching, development and professional advancement of management and staff.
- Promotes collaborative relationships within Medical Services and with other Hospital constituencies.
- Reviews employee engagement surveys identifying opportunities to improve staff engagement.
- Supervise direct and indirect reports in their accomplishment of goals, tasks, and departmental initiatives.
- Synthesizes complex information in high-quality deliverables for presentation to senior leadership.
- Serve as resource to determine appropriate data sources to obtain information necessary to achieve department and/or organizational goals.
- Works collaboratively with the Hospital Operations and Analytics team to build and enhance service-specific dashboards.
- Utilizes available operational dashboards to identify opportunities and implement effective corrective actions.
- Works collaboratively with the Department Administrators and Hospital leaders on operationalizing strategic goals for the department.
- Performs ad hoc quantitative and qualitative analyses.
- Leads the maintenance and achievement of Trauma Level 1 ACS and MBSAQIP accreditation.
- Develops, monitors, and maintains quality assurance programs in compliance with applicable regulatory standards.
- Ensures compliance with and performance on national measures, TJC national patient safety goals, hospital shared goals, and other hospital operational and quality metrics.
- Anticipates changes in regulations and develops a plan for compliance and/or performance improvement.
- Participates in special projects and performs other duties as aligned with the mission and values of the organization.
Requirements
- Masters degree in business administration, health care administration or related field.
- 5 years' related progressively responsible management and budget administration experience.
- Experience planning and implementing administrative activities and supervising staff.
- Exceptional organizational skills and attention to detail.
- Written and oral communication skills applicable to a wide variety of audiences.
- Experience with process improvement methodologies such as Lean and Six Sigma.
- Experience with managing frontline and supervisory staff.
- Experience working directly with physician leaders.
- Proficiency in Microsoft Word, Excel, and PowerPoint.
- Qualified candidates must be able to effectively communicate with all levels of the organization.
