About the Role
The Pubs Ops Associate provides operational support and expertise to the Global Scientific Publications (GSP) Team, focusing on routing and tracking publications, managing author agreements, and performing debarment checks.
Responsibilities
- Route and track Investigator Initiated Study (IIS), Licensing Partner (LP), and Pre-approval Access (PAA) publications.
- Create, track, and document Author Master Agreements (AMA).
- Perform Author Debarment checks.
- Create and maintain the congress calendar.
- Intake IIS and PAA publications in partnership with the study management team and route submissions for approval through Datavision.
- Intake publications from licensing partners in partnership with GSP Publication Leads and route submissions for approval through Datavision.
- Coordinate Author Master Agreements with external authors, file agreements, and track status.
- Create Datavision records for agency partners to support publication workflow tracking and management.
- Monitor the Datavision support inbox, triage and resolve technical and user issues, and escalate as needed.
- Intake requests to create QR codes for congress poster presentations and share them with appropriate teams.
- Access and distribute contracts and study documents upon request.
Requirements
- At least 2 years of experience in data entry, clerical, document specialist, or reconciliation role.
- Demonstrated ability in project management skills.
- Demonstrated ability in effective communication.
- Demonstrated ability in relationship management.
- Process oriented.
- Able to manage multiple projects concurrently.
- Able to continually reassess priority of simultaneous projects/deadlines.
- Attention to detail.
- Understanding of the quality/compliance environment.
- Ability to manage internal and external relationships effectively and independently.
- Proficient in Microsoft Office suite.
- Proficient in SharePoint / database.
- Proficient in internet tools, including electronic file storage and retrieval.
