About the Role

The Advancement Operations and Parent Association Manager is a vital part of the Advancement team, focusing on fundraising, community engagement, volunteer coordination, and special events. This role serves as the main point of contact for the Parent Association, fostering family involvement and organizing events to strengthen the school community and support philanthropic objectives. The ideal candidate is highly organized, relationship-focused, detail-oriented, and adept at managing multiple projects collaboratively. Immediate start is preferred.

Responsibilities

  • Serve as the primary staff liaison to the Parent Association Co-Presidents.
  • Attend Parent Association meetings and prepare agendas, minutes, and follow-up communications.
  • Coordinate the annual Parent Association calendar.
  • Manage volunteer recruitment and assignments, including maintaining databases, scheduling meetings, and developing communications.
  • Foster strong relationships between parents, faculty, and the Director of Institutional Advancement.
  • Assist with the orientation of new parent volunteers.
  • Support committee chairs throughout the year.
  • Ensure effective communication between the Parent Association and school administration, including website updates for PA events.
  • Lead or support planning and execution of school-wide events, including the Annual Gala, Relatives & Special Friends Day, Donor Receptions, Parent Socials, New Family Welcome Events, and Community Engagement Programs.
  • Develop event timelines, calendars, project plans, and event communications, including social media content, event programs, and signage.
  • Coordinate catering, rentals, décor, and logistics.
  • Prepare event budgets and track expenses.
  • Manage invitations and RSVP processes.
  • Coordinate volunteer staffing.
  • Oversee event registration.
  • Conduct post-event evaluations.
  • Prepare acknowledgement letters.
  • Maintain files and records, including donor records within the CRM.
  • Manage vendor relationships, inventory, and sales for Gaynor Gear.
  • Manage contracts and invoices.
  • Process gifts and pledges.
  • Generate donor reports.
  • Assist with prospect research.
  • Prepare new parent profiles.
  • Prepare reports and assist with department projects as assigned.
  • Attend full faculty and staff meetings.
  • Commit to anti-bias and anti-racism work and promoting inclusion, belonging, and equity.
  • Ensure commitment to the school’s DEI mission and goals by participating in continuous professional development.
  • Be an active member of the Gaynor community.
  • Perform other duties and responsibilities as deemed appropriate.

Requirements

  • Minimum of a Bachelor's Degree.
  • Minimum of 1 year experience in an Advancement or Development operation.
  • Event management experience.
  • Exceptional communication and interpersonal skills with the ability to build trust and rapport across diverse communities.
  • High proficiency with Microsoft Office and Google Workspace.
  • Exceptional customer service and database system configuration skills.
  • Highly organized and resourceful with sound judgment and a results-oriented mindset.
