About the Role

Provide diverse and advanced administrative support to executives, utilizing technical and business knowledge, company policies, and organizational awareness to support and communicate on their behalf.

Responsibilities

  • Provide advanced administrative support to executives, proactively managing details and taking action.
  • Manage assigned projects and priorities, ensuring accurate and timely completion.
  • Facilitate effective communication between executives and internal/external stakeholders.
  • Coordinate and delegate follow-up actions for executive commitments, monitoring progress.
  • Prioritize telephone calls and meeting requests, responding to urgent matters with judgment.
  • Prioritize and summarize incoming materials, applying knowledge of operations and protocols.
  • Schedule meetings and prepare agendas.
  • Provide day-to-day office coordination and serve as a resource for staff.
  • Interact with internal and external executives to exchange information.
  • Prepare reports, spreadsheets, presentations, and other professional documents using various applications.
  • Arrange and coordinate travel and meeting schedules, including travel agendas.
  • Complete expense reports and maintain detailed expense records.
  • Collaborate with others to ensure efficiency of administrative functions.
  • Oversee or collaborate on special projects or initiatives.

Requirements

  • High School diploma and advanced secretarial certificate
  • 7 plus years of related secretarial or administrative assistant experience
  • 5 – 7 years of related experience
  • Proficiency in all MS Office applications
  • Broad understanding of the organization’s policies and practices

Salary/Compensations

  • $55,125.00 CAD - $91,875.00 CAD
