About the Role
The UCSF Department of Psychiatry and Behavioral Sciences (DPBS) is seeking a Project Supervisor to lead and manage two team members responsible for the financial administration and reporting of Department gift, internal, state, outside compensation, and Education funds. The Project Supervisor will oversee complex, large-scale projects within the DPBS Finance team, managing planning, execution, and monitoring of project plans, timelines, budgets, deliverables, and resource allocations. Additionally, the Project Supervisor will develop and deliver trainings and workshops to enhance team member skills across the department.
Responsibilities
- Manages and directs the work of a section / department.
- Recommends hiring of new employees, transfers, promotions, salary actions, terminations, performance management and budget recommendations.
- Selects, develops, and evaluates personnel to ensure the efficient operation of the function.
- Provides direct supervision to at least two team members overseeing Department gift, state, internal awards, and Education funds.
- Ensures the timely preparation and dissemination of accurate financial reports to key stakeholders.
- Fosters staff development through mentoring, coaching, and skill-building in financial management, analysis, and operational processes.
- Coordinates with leadership to evaluate and address internal and external work requests.
- Supervises activities associated with the support of a function, research initiative, program and / or organizational unit.
- Assumes responsibility for quality and quantity of work.
- Manages and oversees complex, high-impact projects involving multiple teams and stakeholders.
- Develops and maintains project timelines, deliverables, presentations, meetings, and action items to ensure accountability and successful execution.
- Collects, analyzes, and interprets data to prepare detailed reports and actionable insights.
- Collaborates closely with stakeholders and leadership to develop impactful presentations and support strategic initiatives.
- Designs and delivers training programs and workshops that support professional growth, employee engagement, and team retention across the Finance organization.
- Develops and facilitates specialized learning initiatives, including New Hire Boot Camps and Supervisor Training programs.
- Creates standardized training modules, reference materials, and written guidelines for use across all Finance pillars, including Research, Non-Sponsored, and Clinical operations.
- Ensures training content is clear, scalable, and aligned with organizational goals and compliance requirements.
- Develops and implements best practices for procedures addressing high-impact operational pain points, including MyExpense and BearBuy processing.
- Identifies opportunities for workflow improvement, process standardization, and operational efficiency.
- Promotes consistency across teams by establishing standardized processes, encouraging knowledge sharing, and supporting cross-training initiatives to strengthen collaboration, coverage, and operational resilience.
- Implements a continual feedback process using the Rose, Bud, Thorn framework to gather input, surface opportunities for improvement, and ensure ongoing refinement of processes, training, and team actions.
- Designs and implements programs, initiatives, and workplace practices that promote employee engagement, retention, and team morale.
- Serves as the Team Engagement Ambassador, fostering a supportive, collaborative, and inclusive environment for all team members.
- Develops and coordinates support structures for new and existing team members, including mentorship programs, onboarding support meetings, and peer engagement opportunities.
- Maintains consistent communication channels with staff and leadership to proactively identify and address burnout, disengagement, and workplace concerns.
- Collaborates with hiring managers to define job responsibilities, support interview and selection processes, and streamline onboarding for new hires.
- Partners with managers to coordinate staffing transitions involving new personnel, role changes, shared responsibilities, and temporary coverage to ensure continuity of operations.
- Coordinates with department leaders to evaluate, prioritize, and address internal and external work requests while supporting operational efficiency and team alignment.
Requirements
- Thorough knowledge of organization or initiative processes, protocols and procedures.
- Solid knowledge of common organizational- or research-specific computer application programs.
- Strong analytical / problem-solving skills.
- Strong communication and interpersonal skills to communicate and influence others, both verbally and in writing.
- Advanced project management skills.
- Ability to multi-task with demanding timeframes.
- Ability to use discretion and maintain all confidentiality.
