About the Role
The Medical Office Specialist provides clinical and administrative support to physicians and surgeons, assisting in patient care and performing duties necessary for quality healthcare delivery. This role is integral to the health team, supporting patient and family care and unit operations.
Responsibilities
- Monitors patient flow and resolves related issues.
- Prepares examination rooms and instruments according to hospital and infection control policies.
- Takes and monitors vital signs, including fetal heart rate.
- Performs phlebotomy, point of care testing, and other physician-ordered procedures.
- Assists with various medical procedures.
- Sets up oxygen and suction equipment.
- Performs vision screening.
- Manages medical supplies, including inventory, ordering, restocking, and monitoring expiration dates.
- Maintains logging systems for medications, point of care testing, and sterilization.
- Performs routine maintenance and cleaning of equipment and instruments, reporting malfunctions.
- Maintains a safe, secure, and healthy work environment, complying with standards and regulations.
- Adheres to personal protective equipment requirements for hazardous substances.
- Responds rapidly and calmly during emergencies, initiating CPR and providing necessary items.
- Transports patients and equipment as needed.
- Performs direct patient care as assigned by RN/LPN within established guidelines.
- Documents patient information in the medical record/EMR.
- Greets and registers patients, prepares forms, directs patients, and arranges transportation.
- Screens calls, responds to messages, and answers inquiries about department services.
- Schedules appointments and completes pre-registration, including insurance verification and demographics collection.
- Fulfills clerical responsibilities using EMR or manual systems, managing patient records.
- Performs routine cash collections at the time of service.
- Completes forms and requisitions, manages and files medical charts.
- Retrieves reports and data from computer systems.
- Verifies and updates insurance information.
- Obtains and documents managed care referrals, pre-certifications, and authorizations.
- Supports surgical or procedure scheduling, verifying times, and preparing necessary forms.
- Maintains knowledge of New York State third-party payer eligibility requirements.
- Utilizes medical terminology and enters ICD10-CM and CPT information into systems.
- Assists in training and orientation of new staff.
Requirements
- High School Diploma/GED.
- Licensed/Credentialed as a Phlebotomist or EKG technician preferred.
- Two years of experience working as a medical assistant.
- Basic Life Support (BLS) certification (1 Year) from AHA or Red Cross.
- Medical Assistant Certification by examination preferred.
- Member of SEIU 1199-MSBI collective bargaining unit.
