About the Role

The Administrative Assistant will be the first point of contact and face of our program, performing clerical duties and assisting program participants. As a member of S:US, you are committed to acting with integrity, treating people consistently, honestly, and fairly to help them achieve their goals and the agency's goals.

Responsibilities

  • Perform general clerical duties including photocopying, faxing, mailing, filing, and arranging deliveries.
  • Exercise discretion in handling sensitive information per HIPPA and Agency guidelines.
  • Handle all internal and external communications via phone, email, and written correspondence.
  • Manage a multi-line phone system.
  • Coordinate with internal and external stakeholders, including staff, clients, visitors, and vendors.
  • Arrange, schedule, and coordinate the office calendar.
  • Prepare and edit communications, presentations, and other documents.
  • Perform database management, including data entry into Excel and Electronic Health Records (EHR) systems.
  • File and retrieve documents and reference materials.
  • Provide timely, accurate, and clear documentation according to established policies and procedures.
  • Handle demanding situations by responding effectively to challenges, deadlines, and emergencies.
  • Respond to consumer needs promptly, accurately, with courtesy, and respect.
  • Represent the organization positively and appropriately to outside resources.
  • Support the mission and values of SUS and address behavior inconsistent with core values.
  • Perform additional duties as assigned.

Requirements

  • High School Diploma or equivalent required.
  • Minimum two years of experience in an office setting preferred.
  • Proficiency in computer skills, including word processing and spreadsheets.
  • Good verbal and written communication skills.
  • Valid New York State Driver's License is a plus.
