About the Role
The Administrative Assistant (AA) II for the Adult Sickle Cell Program will work closely with the advanced practice provider (APP) team to coordinate administrative activities relating to patient care. Duties include assisting with scheduling appointments, fielding medication refill requests, and obtaining authorization for sickle cell treatments.
Responsibilities
- Provide administrative support to the Medical Director and the advanced practice providers (APP) of the Sickle Cell Program.
- Track patient treatment plans by maintaining detailed spreadsheets and/or databases.
- Assist with scheduling patient infusions and ensure they are within the established treatment timeframe.
- Assist with appropriate authorization and approvals for patient infusions.
- Assist with the prescription of medications, including fielding refill requests, working with specialty pharmacies, and scheduling peer-to-peer appointments.
- Intervene with insurance companies to facilitate authorizations.
- Ensure AMION is updated for inpatient coverage.
- Assist with scheduling ambulatory appointments.
- Prepare travel reimbursements and expense reports.
- Serve as a liaison with other departments or external parties.
- Screen and prioritize incoming email/mail for action and follow up.
- Respond to email/mail where appropriate or distribute it to the correct individual.
- Screen telephone calls, answer inquiries, or direct callers to the appropriate individual.
- Perform other related duties as assigned.
Requirements
- 4+ years related administrative or business experience
- Prior experience in an academic or healthcare environment preferred
- Prior experience with use of Excel and/or data analysis preferred
- Ability to work proactively and independently with minimal supervision preferred
- Demonstrated strong written and oral communication skills preferred
- Knowledge of Microsoft Teams, Word, Outlook, Zoom preferred
