About the Role

Array Marketing is seeking a Senior Import and Export Coordinator to manage import and export activities across Canada, the United States, and Mexico. This role involves coordinating with internal teams, vendors, and customs brokers to ensure timely and accurate shipment of goods, with a particular focus on strengthening cross-border processes and navigating customs requirements for Mexico.

Responsibilities

  • Manage import and export activities across Canada, the United States, and Mexico.
  • Coordinate with internal teams, vendors, and customs brokers to ensure accurate and on-time delivery of shipments.
  • Support the movement of goods into and out of Mexico, including shipments originating in China.
  • Resolve issues that could affect delivery timelines.
  • Prepare and review commercial invoices, shipping labels, and other required documentation for international shipments.
  • Generate FedEx, UPS, and DHL labels.
  • Ensure shipment information is complete and accurate.
  • Coordinate the paperwork required for goods to cross borders.
  • Monitor and interpret evolving customs regulations, tariffs, taxes, and import/export requirements across North America, with expertise in Mexico.
  • Assess the impact of regulatory changes on operations, identify potential risks, and recommend solutions.
  • Work closely with customs brokers and partners to facilitate customs clearance.
  • Resolve documentation and payment issues with customs brokers.
  • Improve the efficiency of cross-border processes.
  • Strengthen broker relationships and identify opportunities to reduce delays.
  • Coordinate with internal stakeholders and external partners to understand payment terms, VAT, duties, and other costs associated with international shipments.
  • Ensure appropriate information is available to support accurate processing and compliance.
  • Take ownership of the import and export function in Canada, ensuring critical activities continue smoothly.
  • Maintain appropriate coverage for critical activities.
  • Work independently and communicate issues promptly.
  • Adapt schedule when shipment timelines and business requirements demand it.
  • Contribute to improving import and export workflows.
  • Identify opportunities to address recurring challenges.
  • Share knowledge of customs terminology, documentation, and regulations with stakeholders.
  • Help build a more resilient and efficient cross-border operation.

Requirements

  • Practical experience coordinating international imports and exports.
  • Strong understanding of customs documentation, cross-border shipping processes, and regulatory requirements.
  • Experience working with Mexico, Canada, and the United States, including the movement of goods between these markets.
  • Ability to independently manage the day-to-day requirements of an import and export function.
  • Ability to apply knowledge to resolve complex operational challenges.
  • Strong knowledge of Mexican customs regulations, import and export procedures, terminology, and applicable taxes, including VAT.
  • Understanding of the importance of accurate documentation, customs clearance, and timely communication when coordinating shipments into and out of Mexico.
  • Experience with evolving tariff requirements and international trade regulations.
  • Experience preparing commercial invoices.
  • Experience generating FedEx or DHL shipping labels.
  • Experience working with Incoterms and HS codes to support accurate customs documentation.
  • Understanding of how product materials and commodities can affect classification and customs requirements.
  • Proficiency with Microsoft Excel and other administrative tools is an asset.
  • Fluent in English and Spanish.
  • Ability to communicate clearly and confidently with internal stakeholders, vendors, customs brokers, and international teams in both languages.
  • Ability to translate technical customs and trade terminology into clear, practical information.
  • Ability to build effective working relationships across countries and functions.
  • Additional language skills are an asset.
  • Highly organized and detail-oriented.
  • Capable of managing multiple time-sensitive shipments and competing priorities.
  • Understanding of the importance of accuracy, follow-through, and proactive communication.
  • Ability to identify potential issues early, escalate concerns promptly, and work collaboratively to find solutions.
  • Ability to work with limited supervision while maintaining a high standard of accuracy and accountability.
  • Comfortable adjusting working hours when required to support urgent shipments, international time zones, and business needs.
  • Sound judgment, reliability, and a willingness to contribute beyond immediate responsibilities.
