About the Role
Customized Assistance Services (CAS) is recruiting to hire one (1) Community Coordinator to function as Principal Assistant to the Deputy Commissioner. This role involves performing difficult professional and administrative functions with a high degree of independence and initiative, focusing on specialized and time-sensitive tasks related to client services and program operations.
Responsibilities
- Participate in CAS meetings with vendors to discuss relevant issues and inter/intra agency coordination of client services.
- Perform special projects for CAS Deputy Commissioner as needed.
- Schedule and organize meetings for Deputy Commissioner, including coordinating attendees, contacting presenters, reserving space, securing building access, and preparing materials.
- Maintain internal calendar for Deputy Commissioner.
- Review and screen all incoming mail and calls.
- Establish and maintain administrative controls.
- Determine critical priorities requiring the Deputy Commissioner's immediate attention and route appropriately.
- Maintain correspondence control system.
- Establish and maintain a reporting mechanism for all overdue correspondence, including follow-up.
- Prepare confidential correspondence, letters, and memoranda for the Deputy Commissioner and key administrative staff.
- Draft certain letters and reports for the Deputy Commissioner and key administrative staff.
- Generate and maintain reporting containing confidential information regarding program operations, such as vendor agency contacts.
- Receive and distribute centrally issued funds for CAS activities in conjunction with the Office Manager.
- Coordinate all Out-of-Town travel requests for conferences.
- Work with the principal assistant to ensure travel arrangements are made in accordance with agency guidelines.
- Obtain signoffs in a timely manner.
- Collect appropriate documentation for forwarding to appropriate areas.
- Ensure that paperwork and submissions for reimbursement forms are made timely.
- Coordinate and process all CAS requests for training, internal and external, by verifying information and routing appropriately for processing.
Requirements
- A baccalaureate degree from an accredited college and two years of experience in community work or community centered activities in an area related to the duties described above.
- High school graduation or equivalent and six years of experience in community work or community centered activities in an area related to the duties as described above.
- Education and/or experience which is equivalent to the above degree/experience requirements.
- All candidates must have at least one year of experience as described in the baccalaureate degree requirement.
