About the Role

This role provides executive administrative support to a VP and 3 Directors within Cisco Spaces, a rapidly growing product line focused on optimizing how people, buildings, and things interact. The position requires a forward-thinking individual with strong communication and judgment skills to manage calendars, coordinate speaking engagements, plan meetings, prepare travel briefings, handle correspondence and approvals, manage travel and expenses, and support special projects and large corporate events.

Responsibilities

  • Handles VP's calendar by prioritizing schedules and meetings.
  • Coordinates event speaking engagements, working with the communications team on content needs.
  • Assists VP in planning and organizing meetings, including agenda, location, and technology.
  • Prepares meeting briefing documents, takes notes, and formulates action items.
  • Builds travel packs for international trips and large domestic events.
  • Acts as proxy for communications and approvals as authorized.
  • Answers general questions and refers routine matters to appropriate parties.
  • Takes initiative to resolve issues within specified policies and guidelines.
  • Provides mentoring to administrative community members on problem-solving.
  • Determines when executive action is required and supplies recommendations.
  • Makes in-depth global travel arrangements, considering optimum itineraries and handling expenses.
  • Accommodates Global Services benefits for upgrades when available.
  • Provides analytical support to executives on special projects, including research and data compilation.
  • Prepares and briefs itineraries for large Corporate Events and accompanies VP.
  • Deals professionally with sensitive and confidential matters and materials.

  • A minimum of 2 years of experience supporting a principal who was at the director level or above.
  • Expert level knowledge of Windows desktop computer applications: Outlook, Word, Excel, PowerPoint.
  • Experience in calendar management, planning meetings and coordinating travel.
  • Excellent verbal and written communication skills including the ability to connect with all levels of Executive/Senior staff and clients.

  • $99,300.00 - $131,800.00 (US/Canada)
  • $99,300.00 - $172,800.00 (New York City Metro Area)
  • $92,000.00 - $141,800.00 (Non-Metro New York state & Washington state)
