About the Role

DLA Piper is seeking a Document Production Specialist to join their National Document Services team. This role is crucial for supporting legal and business document creation and formatting, ensuring accuracy and adherence to firm standards.

Responsibilities

  • Create, revise, and format complex legal and business documents using advanced Microsoft Office functionality.
  • Prepare and revise correspondence, agreements, pleadings, reports, presentations, spreadsheets, and other legal and business documents.
  • Create document comparisons and blacklines, manage document versions, and convert documents between formats while maintaining formatting integrity.
  • Troubleshoot document formatting, conversion, and corruption issues.
  • Receive, prioritize, and complete document production requests through established workflows.
  • Communicate with team members regarding requirements and timelines.
  • Maintain accurate records of work completed.
  • Review completed documents for accuracy, completeness, formatting consistency, and alignment with firm standards.
  • Create and revise PowerPoint presentations, organizational charts, and Excel spreadsheets and graphs.
  • Transcribe dictations to generate a variety of documents.
  • Provide technical guidance to staff regarding document formatting best practices and efficient use of firm-supported tools.
  • Collaborate with IT, legal support, and other business services teams to resolve complex document-related issues.
  • Share knowledge and best practices within the team, support training and onboarding, and participate in process improvement initiatives.
  • Provide national coverage, overflow assistance, and support for special projects and other assigned duties.

Requirements

  • Minimum of 5 years of experience in document production, legal support, or professional services support, preferably in a law firm environment.
  • Graduate of an accredited Legal Administrative Assistant, Office Administration, or related program, or an equivalent combination of education and relevant experience.
  • Advanced proficiency in Microsoft Word.
  • Strong proficiency in Microsoft Excel, PowerPoint, Outlook, and Adobe Acrobat Professional.
  • Demonstrated expertise in styles and numbering, tables of contents, cross-references, document comparisons, PDF conversion, document assembly, and mail merge functionality.
  • Strong attention to detail and a demonstrated commitment to accuracy and quality control.
  • Ability to exercise sound judgment, maintain professionalism, and protect confidential client and firm information.
  • Dedicated to providing responsive, professional, and high-quality service to internal clients.
  • Excellent written and verbal communication and interpersonal skills.
  • Ability to clarify requirements, provide status updates, and work effectively with a diverse group of individuals.
  • Ability to remain professional and diplomatic while managing multiple clients, competing priorities, and tight deadlines in a high-pressure environment.
  • Excellent organizational, time management, and priority-setting skills.
  • Proven problem-solving and technical troubleshooting skills.
  • Ability to identify and deliver practical solutions.
