About the Role
The Senior Administrative Program Coordinator provides leadership and operational support for the Construction Industry Institute's (CII) assigned member engagement groups and activities related to CII’s Professional Development and Implementation programs. This role coordinates vital administrative activities, manages stakeholder relationships, facilitates member engagement, and ensures successful delivery of programs, meetings, and events. Working closely with CII staff, volunteer leaders, and member organization volunteers, the Senior Program Coordinator serves as a trusted partner in advancing collaboration, knowledge sharing, and industry engagement across CII's member community.
Responsibilities
- Coordinate the day-to-day administration of assigned member groups and assigned program tasks.
- Plan and support virtual and in-person meetings, including scheduling, registration, agenda preparation, meeting materials, and follow-up activities.
- Coordinate speaker communications, presentation collection, and meeting logistics.
- Prepare meeting notes, action items, and summary reports.
- Track member participation, attendance, and engagement metrics.
- Serve as the primary staff liaison for assigned member groups and volunteer leaders.
- Build strong relationships with members, industry practitioners, board advisors, and committee leaders.
- Support recruitment, onboarding, and retention efforts to strengthen member participation.
- Facilitate communication among stakeholders and ensure timely follow-up on action items and commitments.
- Collaborate with internal teams to deliver a positive participant experience.
- Develop and manage program communications, including meeting materials, announcements, newsletters, and post-event summaries.
- Prepare reports, dashboards, and participation metrics to monitor program performance.
- Capture and communicate member feedback, emerging industry issues, and engagement opportunities.
- Manage program logistics, registrations, records, databases, and documentation.
- Support budget planning, expense tracking, and vendor coordination.
- Develop and maintain standard operating procedures and program guidelines.
- Identify and implement process improvements to enhance operational efficiency and member experience.
- Lead or support cross-functional projects that contribute to CII's strategic goals.
- Performs other related duties as assigned.
Requirements
- Bachelor's degree in a related field
- Five (5) years of experience in program management, member engagement, association management, project coordination, or related roles
- Strong verbal and written communication skills, with the ability to engage and build relationships with various stakeholders
- Excellent organizational, project management, and time management skills
- Attention to detail and problem-solving abilities
- Ability to work independently and as part of a team
- Proficiency in Microsoft Office Suite, virtual meeting platforms, and customer relationship management (CRM) software
- Relevant education and experience may be substituted as appropriate.
- More than five (5) years of experience in program management, member engagement, association management, project coordination, or related roles
- Salesforce experience
- Experience supporting professional associations, industry groups, councils, or member organizations
- Experience planning and facilitating meetings, workshops, and events
- Experience in a role involving construction, engineering, research, or related industries
