About the Role
Under general supervision, this role is responsible for the daily supervision of business office staff, including managing appointments, patient registration, referrals, and claims processing. Duties involve coaching, motivating, staffing, evaluating, and training staff while ensuring compliance and promoting the organization's mission.
Responsibilities
- Manages, trains, coaches, develops, and supervises front and back office staff and/or HIM staff.
- Ensures business processes and protocols are followed in the business office and medical records areas.
- Meets staffing requirements to meet provider and patient needs.
- Builds communication and teamwork through regular staff meetings.
- Stays knowledgeable of policies and procedures, and implements changes.
- Maintains records of attendance, evaluations, time off, and counseling.
- Interviews prospective employees and communicates with Human Resources.
- Coordinates new hire and existing staff training with Staff Development.
- Participates with the management team in developing and achieving clinic goals.
- Evaluates staff performance and provides regular feedback.
- Coordinates with Clinic Manager and Human Resources for counseling or discipline.
- Adheres to all company policies, including OSHA, HIPAA, compliance, and Code of Conduct.
- Maintains regular and dependable attendance.
- Follows company core competencies.
- Works required holiday shifts.
- May be responsible for provider schedule maintenance, auditing charges, and addressing insurance denials.
- Attends leadership training to improve skills.
- May assume responsibility for Clinic operations in the absence of the Clinic Manager.
- Performs other duties as assigned.
Requirements
- High school diploma or GED.
- Two (2) or more years of experience working in the office of a clinic or similar healthcare related setting.
- Supervisory or lead experience preferred.
Skills
- Knowledge of medical insurance, collections, and appointments.
- Knowledge of medical terminology.
- Familiarity with procedural and diagnostic coding.
- Excellent customer service skills.
- Ability to engage others, listen and adapt response to meet others’ needs.
- Ability to align own actions with those of other team members committed to common goals.
- Excellent computer and keyboarding skills, including familiarity with Windows.
- Ability to analyze problems, make decisions, and manage conflict.
- Ability to train and monitor staff to ensure compliance with regulations and established practices.
- Ability to implement new policies/procedures and keep employees informed of changes.
- Excellent verbal and written communication skills.
- Ability to manage competing priorities.
- Ability to perform job duties in a professional manner.
- Ability to understand, recall, and communicate factual information.
- Ability to understand, recall, and apply oral and/or written instructions.
- Ability to organize thoughts and ideas into understandable terminology.
- Ability to apply common sense in performing job.
