About the Role

This position is focused on advancing CADP’s work targeting expansion of behavioral health care access for young children and families served by Medi-Cal. The Project Manager will serve as an operational backbone of key CADP workstreams—driving cross-functional collaboration, keeping complex initiatives on track, and ensuring that our work translates into meaningful impact for children and families served by Medi-Cal.

Responsibilities

  • Analyze and summarize participation with learning management system and develop improvement recommendations.
  • Gathers and assembles analytical and factual data on assigned problems and issues to prepare reports and / or analyses summarizing information on the assigned issues and commenting on other significance for internal or external constituents.
  • Develop project plan and work with key stakeholder to accomplish plan.
  • Stakeholder Vendor Management.
  • Build and maintain strong working relationships with internal and external stakeholders.
  • Coordinate timeline and professional follow-up communications with stakeholders after meetings and key touchpoints.
  • Coordinate with external partners and vendors supporting workstream activities and events.
  • Manage vendor relationships including deliverables and other operations as needed in collaboration with operations and finance teams.
  • Ensure partner and vendor deliverables align with timelines and quality standards.
  • Serve as day-to-day point of contact for partner and vendor communications.
  • Track partner and vendor performance and flag issues to leadership as needed.
  • Prepares, edits and modifies documents including research reports, manuscripts, presentations and proposals.
  • Utilizes evaluation tools for courses, instructors and programs to evaluate and adjust course curriculum or presentation.
  • Using subject matter knowledge, collects and prepares information for use in discussions, meetings of internal and external constituents.
  • Meeting and Project Management.
  • Develop project plans, manage timelines, coordinate meetings, preparate materials, track action items and ensure timely follow up with stakeholder and project follow-up with stakeholders and project Team for programs.
  • Develop meeting agendas in collaboration with workstream lead and key stakeholders.
  • Manage all meeting logistics including venue, platforms, calendar invites, and attendee coordination.
  • Facilitate and support facilitation of meetings to ensure productive and efficient use of time.
  • Prepare and distribute meeting materials, presentations, and pre-read documents in advance of meetings.
  • Capture detailed meeting notes and facilitate follow-through amongst team members and stakeholders in a clear and coordinated fashion.
  • Participates in administrative / research policy and program project planning and development.
  • Assists in conducting analysis, prioritizing work assignments and developing program recommendations.
  • Knowledge Management.
  • Plan and manage project deliverables and resources by tracking budgets, monitoring project milestones, maintaining documentation, preparing reports, and ensuring projects remain on schedule and aligned with organizational objectives.
  • Maintain organized project files, documentation, and records for all active initiatives.
  • Workstream Coordination.
  • Monitor project milestones and deliverables across multiple activities.
  • Manage competing priorities with workstream lead and teams to prioritize, identify trade-offs, and make recommendations on how to make timely and productive progress.
  • Proactively identify project risks, delays, or gaps and escalate to leadership with recommended solutions.
  • Coordinate logistics for all workstream activities from planning through execution and closeout.
  • Plan and schedule activities within designated workstream, ensuring mutli-system and multi-stakeholder alignment and strategic participation.

Requirements

  • Bachelor's degree in related area and minimum one year of experience or equivalent experience / training.
  • Working knowledge of common organization- or research-specific and other computer application programs.
  • Proficient in communication and interpersonal skills to communicate effectively, both verbally and in writing.
  • Proficient in ability to use discretion and maintain all confidentiality.
  • Demonstrates ability to use sound judgment in responding to issues and concerns.
  • Demonstrates ability to analyze, research and synthesize large amounts of data with strong attention to detail.

  • Working knowledge of applicable policy analysis techniques.

  • Experience in supporting complex multi-system, multi-stakeholder projects within health care or public health settings.
  • Experience with pediatric health care, early childhood health and mental health, and public health financing is preferred.
  • Additional experience in population health, public health and clinical implementation is also helpful.
