About the Role

The Intake/Referral Coordinator manages new patient data, database maintenance, and assists the clinical administration team. This role is the first point of contact for new patients, responsible for delivering an exceptional service experience and building patient relationships.

Responsibilities

  • Manage day-to-day needs and data entry for new patient data or chart coordination.
  • Maintain database.
  • Assist the clinical administration team with requirements or needs.
  • Provide an exceptional patient service experience, setting treatment expectations, assisting with appointments, and de-escalating patient concerns.
  • Book, confirm, reschedule, and cancel all new patient appointments with Physicians.
  • Complete patient-related booking tasks received from clinical teams.
  • Answer patient questions regarding appointment policies and testing information.
  • Communicate appointment details via email or phone.
  • Keep EMR records up to date by uploading and filing patient files and test results.
  • Maintain patient confidentiality.

Requirements

  • Successful completion of a post-secondary certificate or diploma in Medical Administration or a related field.
  • 2-3 years of working experience in an administrative role, preferably in the healthcare or medical clinic field.
  • Minimum of 2 years of experience working as an office assistant, preferably in a busy medical office environment booking patient appointments.

Skills

  • Knowledge of medical terminology is an asset.
  • Exposure to in-house medical software / CRM / Databases.
  • Proficient in Microsoft Office Suite including Word, Excel and Outlook.
  • Background using ACCURO or other Electronic Medical Record system.
  • Customer service orientation.
  • High degree of accuracy and strong attention to detail.
