About the Role
Improve patient health through an innovative, patient-focused culture dedicated to making a difference in the communities served.
Responsibilities
- Perform confidential administrative, secretarial, and clerical duties to support the Department Manager and Administration Staff.
- Adhere to organizational policies, procedures, and standards.
- Participate in the department's performance improvement plan and attend committee meetings.
- Provide high-quality, confidential administrative support to assigned providers.
- Answer, screen, and triage telephone calls professionally and helpfully.
- Take detailed and accurate messages, ensuring timely follow-through.
- Type memoranda, reports, and correspondence accurately using necessary computer programs.
- Utilize IDX and Microsoft Outlook for managing provider schedules and scheduling patients.
- Maintain accurate provider calendars and coordinate related paperwork for meetings, time off, and travel.
- Process incoming correspondence in a timely and confidential manner.
- Prioritize work/projects, communicate task status, and complete work efficiently.
- Process clinical paperwork accurately with a maximum of three exceptions per year.
- Provide additional administrative support as needed to ensure quality operations.
- Schedule outpatient appointments via telephone, reminder lists, and bump lists, ensuring demographic information is confirmed.
- Perform advanced scheduling functions, including master scheduling edits.
- Cross-train in appropriate scheduling and reception functions.
- Initiate and coordinate the scheduling of procedures and related appointments.
- Communicate with departments to coordinate appointments for diagnostic testing.
- Collect and record information for diagnostic testing authorizations, including ICD-9 codes and historical data.
- Promote quality healthcare through continuous learning, communication, and teamwork.
- Resolve problems and make decisions within the scope of authority.
- Provide support and cross-coverage for other staff as needed.
- Maintain a professional appearance and behavior.
- Ensure the confidentiality of protected health information and patient privacy rights.
- Discuss patient care issues privately and read medical documentation on a need-to-know basis.
- Receive requests and schedule appointments according to departmental guidelines.
- Serve as a liaison between the Department and health insurance plans during the review process.
- Act as a point of contact for patient concerns and complaints, referring unresolved issues to supervisors.
- Communicate care plans and scheduled appointments to patients/families.
- Train and serve as a preceptor for new staff.
- Maintain competency in required programs, including clinical information systems and office automation.
- Attend required in-services and identify needs for computer training.
- Attend staff meetings and review minutes of missed meetings.
- Maintain job-specific knowledge and proficiency in areas such as FSC, scheduling, and charge coding.
- Maintain knowledge of Bassett FSC’s and local carrier’s medical coverage policies.
Requirements
- At least 3 years of departmental administrative assistant experience required.
- Bachelor's degree may be substituted for one year of work experience.
