About the Role

The Document Management Representative is responsible for distributing all incoming operational mail, cheques, faxes, and emails to relevant business units within Fidelity Investments, adhering to internal and external Service Level Agreements (SLAs). The role emphasizes quality, customer service, and partnership, maintaining a continuous document distribution workflow through preparation, scanning, image validation, and distribution of work items.

Responsibilities

  • Ensure accurate and timely preparation of all operational documents for scanning and imaging.
  • Ensure scanning of all cheque and non-cheque documents, including barcoded OCR documents, by utilizing OPEX scanners, and fully following all applicable scanning procedures.
  • Image validation and scanning of cheque and non-cheque documentation by utilizing high-speed OPEX scanners, including ICR/OCR process, ensuring accuracy and integrity of scanned images.
  • Ensure timely and highest quality distribution of all scanned and faxed items (images of the documents) by utilizing KOFAX and XTRAC workflow applications.
  • Conduct authorized signature verification process (ASV) by utilizing an applicable KOFAX application.
  • Execute all tasks in full accordance with the internal policies, procedures and auditing requirements.
  • Execution of all other document management team related tasks as required or assigned by Team Manager.
  • Add value to the client experience by understanding what's important, recognizing what needs to be done, providing stellar service and taking personal accountability for creating a positive "moment of truth" and demonstrating Fidelity core values.

Requirements

  • Minimum 1-year work experience, preferably in financial services Industry.
  • Post-secondary degree or equivalent work experience.
  • Completion of Canadian Investment Funds Course (CIFC) is an asset.
  • Basic understanding of the mutual funds industry, specifically mutual funds operations.
  • Strong customer service focus.
  • Strong organizational skills with the ability to multitask.
  • Ability to work in a fast paced environment with strong attention to detail.
  • Good verbal and written communication skills.
  • Proficiency in MS Office and strong keyboarding skills.
  • Current work authorization for Canada is required for all openings.
  • Applicants must be available to work rotating shifts Monday through Friday between 8:00 AM to 6:00 PM.
