About the Role

An Administrative Assistant plays a vital role in keeping an office running smoothly by managing schedules, organizing files, responding to emails, and coordinating meetings. Attention to detail, strong communication skills, and the ability to multitask are essential. Administrative Assistants often act as the first point of contact for both internal and external stakeholders, ensuring that operations flow seamlessly across departments.

Responsibilities

  • Provide general support including mailing, scanning, faxing, ordering supplies, reception coverage, preparing correspondence, data entry, filing, scheduling meetings, booking rooms, and maintaining databases, reports, documents, and office files.
  • Perform front desk duties such as greeting visitors and directing them to the appropriate area.
  • Assist the Career Services department with their activities.
  • Maintain general security by managing access to campus facilities and equipment/supplies, and observing security monitors if available.
  • Maintain internal communication and messages between staff and students.
  • Maintain student transcript databases by entering marks and attendance.
  • Maintain policies, procedures, and up-to-date forms files, ensuring files are adequately stocked.
  • Supervise entrance examinations for admissions staff and student make-up examinations for instructors.
  • Monitor, maintain, and order general office supplies, books, and academic consumables for the campus.
  • Provide backup and support for orientation, recruitment, instructor support, and campus processes and procedures.

Requirements

  • Requires at least 1 year of office experience.
  • Must have advanced oral and written communication skills, including presentation and group facilitation.
  • Demonstrates high standards of behavior, professionalism, and commitment to quality service.
  • Experience with both in-person and online event procedures and tools.
  • Excellent organizational skills.
  • Ability to multitask.
  • Strong team player.
  • Ability to build relationships with external vendors.
  • Ability to make decisions under pressure.

Skills

  • Advanced Microsoft Office knowledge
  • Experience with email marketing is an asset
  • Familiarity with office management software and tools such as CRM systems or project management platforms
