About the Role

The Document Management Representative is responsible for distributing all incoming operational mail, cheques, faxes, and emails to relevant business units within Fidelity Investments, adhering to Service Level Agreements (SLAs). The role emphasizes quality, customer service, and partnership, ensuring accurate data and efficient problem resolution. This position involves maintaining a continuous document distribution workflow by participating in document preparation, scanning, image validation, classification, and distribution.

Responsibilities

  • Ensure accurate and timely preparation of all operational documents for scanning and imaging.
  • Scan cheque and non-cheque documents, including barcoded OCR documents, using OPEX scanners and following all applicable scanning procedures.
  • Perform image validation and scanning of cheque and non-cheque documentation using high-speed OPEX scanners, including ICR/OCR processes, ensuring accuracy and integrity of scanned images.
  • Distribute scanned and faxed items (document images) in a timely and high-quality manner using KOFAX and XTRAC workflow applications.
  • Conduct authorized signature verification (ASV) using an applicable KOFAX application.
  • Execute all tasks in accordance with internal policies, procedures, and auditing requirements.
  • Perform other document management team-related tasks as required or assigned by the Team Manager.
  • Add value to the client experience by understanding client needs, recognizing necessary actions, providing stellar service, and taking personal accountability for creating a positive "moment of truth" while demonstrating Fidelity core values.

Requirements

  • Minimum 1-year work experience, preferably in the financial services industry.
  • Post-secondary degree or equivalent work experience.
  • Completion of Canadian Investment Funds Course (CIFC) is an asset.
  • Basic understanding of the mutual funds industry, specifically mutual funds operations.
  • Strong customer service focus.
  • Strong organizational skills with the ability to multitask.
  • Ability to work in a fast-paced environment with strong attention to detail.
  • Good verbal and written communication skills.
  • Proficiency in MS Office.
  • Strong keyboarding skills.
  • Current work authorization for Canada is required.
