About the Role

The Space Planner & Move Manager ensures effective management of client-occupied space, assists in developing strategic occupancy plans and forecasts, and develops options to meet client occupancy needs. This role provides options with timelines, estimated costs, and development scope, supporting occupancy planning and responding to client business needs. The incumbent collaborates with internal BGIS, clients, and vendors to ensure successful implementation of space and occupancy planning initiatives.

Responsibilities

  • Identifies priority needs or planned changes, relocation or renewals to achieve client business needs.
  • Aligns prioritization and plans with overall occupancy and space standards and strategies.
  • Develops short- and long-range facility utilization plans, including space and headcount forecasting and space allocations to reduce cost and utilize existing vacancies.
  • Creates “What If” scenario planning and portfolio/space modelling.
  • Produces 3D renderings, visualizations, and presentations.
  • Baselines existing facilities to determine square footage and lease terms/expirations.
  • Analyzes CAFM system outputs and evaluates current space usage against cost, standards, strategic, and client business drivers.
  • Prepares studies and reports outlining facilities plans for client consultation and recommendation.
  • Analyzes cost/benefit for proposed changes and makes recommendations based on client best interests.
  • Ensures proper and timely project- and administrative-related reporting and systems inputs.
  • Identifies opportunities for significant cost savings and client business improvements and makes recommendations.
  • Liaises with BGIS divisions and the Client Group to initiate approved plans/changes to space.
  • Works with Project Management, Client Services, Client, and contractor resources to ensure continuous improvement and successful delivery of space planning needs.
  • Manages expectations and needs of Client user groups without compromising Client or BGIS objectives.
  • Incorporates sustainable practices into space planning delivery, in accordance with BGIS processes.
  • Performs other duties as assigned.

Requirements

  • Software proficiencies: Microsoft Office applications, AutoCAD, CAFM, Sketchup.
  • Ability to create 3D renderings and visualizations/presentations.
  • Experience in facilities office planning.
  • General knowledge of the real estate business.
  • General understanding of leasing structures.
  • Strong working knowledge of project management, design, move management, construction, and scheduling.
  • Knowledge of various furniture systems, interiors, materials, and finishes.
  • Knowledge of and experience with industry standards and regulations.
  • Strong organizational and time management skills; ability to manage multiple assignments simultaneously.
  • Results-oriented.

  • Excellent verbal and written communication skills, including presentation, documentation, and report writing.

  • Experience with IWMS and/or space management tools for occupancy planning.
