About the Role
We are seeking an organized, thoughtful, and proactive Executive Assistant (EA) to our founders, who will also serve as the Office Manager for our New York City office. This role offers the opportunity to manage the founders' time, improve their effectiveness through organizational support, and create an unparalleled in-office experience for employees by facilitating collaboration and fostering a strong sense of community.
Responsibilities
- Manage and maintain complex calendars for the CEO and CPO, including scheduling, conflict management, and prioritization.
- Coordinate all aspects of meetings, including venue selection and technology arrangements.
- Arrange comprehensive domestic and international travel logistics, including flights, accommodations, ground transportation, and itineraries.
- Manage vendor relationships, process expense reports, and lead special projects.
- Serve as the main point of contact for building management and the office superintendent to ensure smooth operations.
- Orchestrate daily operations for the NYC office, managing vendors for services like lunches, snacks, and housekeeping.
- Ensure the office environment supports productivity and proactively restock supplies.
- Act as a central liaison for office-wide announcements and updates.
- Partner with the People Team on onboarding activities, including key card registration, seating arrangements, and IT setup.
- Welcome traveling employees and external guests, providing guidance and local recommendations.
Requirements
- 4+ years of experience in an Executive Assistant, Office Management, or relevant capacity, preferably in a fast-moving company, startup, or tech environment.
- Bachelor’s degree in Business, Communications, Human Resources, or a related field.
- Demonstrated autonomy and judgment to drive work forward without explicit instructions.
- Exceptional ability to organize complex situations and prioritize tasks effectively.
- Clear, concise, and timely communication skills focused on breaking down silos and fostering cross-functional dialogue.
- Proficiency in Google Workspace, Slack, and VMS.
- Willingness to rapidly iterate with new digital platforms and project management tools.
- Prior experience in a startup that has scaled to 200+ employees is a plus.
