About the Role
The Promotions Coordinator assists the Executive Director of Marketing & Sales in developing, coordinating, and implementing promotional programs and events. This role supports marketing staff, ensures adherence to company policies, and contributes to a positive work culture.
Responsibilities
- Assist the Executive Director of Marketing & Sales in daily activities, including answering phones, handling customer complaints, editing advertising materials, organizing files, and distributing fact sheets.
- Answer telephones, take detailed messages, and resolve problems or provide information.
- Receive, open, and distribute mail, researching information to respond to correspondence.
- Maintain records for scheduling, evaluations, daily job tasks, and payroll for Promotions, National Marketing, and Special Events.
- Provide input for future promotions.
- Assist with the setup and execution of promotions, including slot tournaments, gift giveaways, and drawings.
- Assist in the setup and testing of new promotional software.
- Supervise promotions when the Marketing Manager is unavailable.
- Fill in at promotions booths and act as a Marketing Shift Manager as required.
- Assist with scheduling and conducting interviews, and suggest applicants for hiring.
- Review promotions based on response, customer comments, and incremental income.
- Use the ACSC Computer System to review patron eligibility, status, and promotion outcomes.
- Assist in creating and assembling memos, SGA submissions, promotional fact sheets, ProFormas, purchasing requests, advertising creative requests, and database kiosk promotion requests.
- Maintain an up-to-date record of purchases, parameters, and requests in progress, checking in with management to ensure timely completion.
- Maintain notes for weekly and monthly planning meetings and ensure they are scheduled according to the timeline.
- Prepare meeting notes and agendas, including gift samples and calendars.
- Develop data tracking as requested by the Marketing Director and/or Marketing Manager.
- Review internal property communication documents for promotions.
- Update department documents with daily property handle numbers.
- Communicate promotional updates to the team, property, and tracking documents.
- Distribute the weekly Marketing Calendar to the property distribution list.
- Proofread promotional copy and creative, compile revisions, and report changes and approvals to advertising.
- Create and submit requests to the advertising department for timely and cost-efficient creation, printing, personalization, and mailing of advertising materials.
- Perform SWS Data entry for Purchase Requisitions and BPO entries.
- Maintain absolute confidentiality and integrity with all information regarding tribal and casino operations, management, and staff.
- Verify data prepared by the Database Marketing department for accuracy of Casino Player information in the ACSC casino system.
- Assist the Promotions, Special Events, Bus Sales Marketing, and Database departments as needed.
- Assist with large-scale marketing events such as Holiday Shopping Spree, 4th of July Fireworks, and New Year’s Eve Gala.
- Cooperate with the Seneca Gaming Authority to ensure compliance with all rules and regulations.
- Schedule meetings when directed, ensuring participants are notified, equipment is scheduled, and amenities are furnished.
- Maintain a current understanding of all policy and guidelines regarding information security, including the Seneca Gaming Corporation Acceptable Use Policy.
- Provide exceptional customer service and communicate in a pleasant, friendly, and professional manner.
- Maintain a professional work environment with supervisors, managers, and staff.
- Meet attendance guidelines and adhere to regulatory, departmental, and company policies.
- Complete all required SGC Training programs within nine months of employment.
- Attend all necessary meetings.
- Perform other duties as assigned, subject to change as needed.
Requirements
- Must be 18 years of age or older.
- High school diploma or equivalent required.
- Associate’s degree in Marketing or five years of Casino Marketing experience preferred.
- Marketing, promotions/events, or customer service experience required.
- Casino experience required.
- Scheduling flexibility and dependability required.
- Good analytical skills required.
- Proficient computer skills required.
- Typing speed of forty (40) words per minute required.
- Excellent communication skills required.
- Ability to write routine correspondence and speak effectively to the public, employees, and customers.
- Ability to define problems, collect data, establish facts, and draw valid conclusions.
- Ability to deal effectively and interact well with customers and employees.
- Ability to resolve problems/conflicts in a diplomatic and tactful manner.
- Adequate manual dexterity to operate office equipment.
- Light lifting required.
- Occasional travel required.
- Ability to effectively understand and communicate to candidates and employees.
- Ability to stand, walk, and move through all areas of the casino.
- Ability to maintain physical stamina and proper mental attitude to work under pressure in a fast-paced, casino environment and effectively deal with customers, management, employees, and members of the business community in all situations.
- Must complete all required SGC Training programs within nine (9) months from commencement of employment.
- Attend all necessary meetings.
- Must be able to work in an environment where smoking is permitted.
