About the Role

Langan is seeking an Administrative Assistant to provide essential administrative support to the Syracuse, NY office. This role offers the opportunity to partner with office leadership on projects that enhance operational success.

Responsibilities

  • Manage satellite office operations and coordinate with building/coworking-space management.
  • Administer building and visitor access.
  • Manage inventory and ordering of office supplies and PPE.
  • Coordinate new-hire onboarding logistics, including workspace, parking, and access setup.
  • Arrange conference room, catering, and hospitality for meetings and interviews.
  • Support business development by tracking networking events, conferences, and client-development activities.
  • Maintain general office stewardship and a professional workplace environment.
  • Schedule and coordinate meetings, events, interviews, annual performance reviews, and appointments.
  • Arrange complex and detailed travel plans and itineraries.
  • Maintain individual, project, and/or group calendars and assist office management with daily priorities.
  • Retrieve and distribute phone messages and assist callers.
  • Provide administrative support with filing, photocopying, scanning, and faxing.
  • Compose timely responses to written inquiries and distribute mailings.
  • Compose and edit plans, specifications, reports, memorandums, and correspondence.
  • Prepare printed reports and other duplicated materials.
  • Maintain corporate contact lists, Outlook contacts, files, databases, records, and other documents.
  • Create, edit, and/or format PowerPoint presentations, technical reports, and proposals.
  • Assist with timely submission of employee timesheets and expense reports.
  • Act as back-up for office services, IT, Marketing, and HR.
  • Perform other duties as requested.

Requirements

  • High School degree required.
  • Ability to maintain confidentiality.
  • Strong sense of initiative and flexibility.
  • Excellent communication and interpersonal skills.
  • Strong attention to detail with excellent analytical, multitasking, organizational, and judgment capabilities.
  • Ability to work effectively independently and in a team environment.
