Responsibilities

  • Plan and deliver high-quality, accurate work while managing deadlines, responding to change, and prioritizing competing tasks.
  • Coordinate and produce Herbert Smith Freehills Kramer compliant documents, correspondence, reports, and presentations.
  • Establish and maintain effective work practices with partners and lawyers to manage the matter lifecycle.
  • Proactively manage and understand partner and lawyer diaries, prioritizing commitments and organizing appointments, conferences, and meetings.
  • Coordinate detailed, multi-centered travel arrangements and provide itineraries, including accommodation, visas, and offsite meeting requirements.
  • Coordinate and assist with global visits and visitors.
  • Manage and coordinate lunches, dinners, and other events, including venue review, menu planning, and budget adherence.
  • Proactively manage all communications, both incoming and outgoing, ensuring timely resolution.
  • Manage email correspondence and draft responses as appropriate.
  • Filter, evaluate, and prioritize incoming communications, proactively addressing queries and escalating when necessary.
  • Implement effective telephone call management.
  • Coordinate the billing process, including liaising with Revenue, editing bills, coordinating write-offs and discounts, and collating bills and narratives.
  • Manage alternative pricing arrangements and cross-border invoicing.
  • Work with partners and lawyers to meet required WIP, billing, and debtor day's targets.
  • Assist partners and lawyers with their business development responsibilities, including producing pitches and updating client information.
  • Help partners and lawyers build and maintain strong client relationships by demonstrating diligence and professionalism.
  • Delegate administrative tasks to PTAs and ensure timely completion of filing, timesheets, banking, billing, WIP reports, and archiving.
  • Maintain strong knowledge of the practice area, key matters, business issues, and 'hot topics'.
  • Adhere to firm, office, and practice group policies and procedures.
  • Demonstrate enthusiasm and proactivity in the workplace, participating in meetings, initiatives, and team-building activities.
  • Take responsibility for personal learning, undertake recommended training, and share information about better work practices.

Requirements

  • Minimum typing speed of 55wpm with 98% accuracy.
  • Demonstrated high-level experience as a Secretary/PA working in a professional services environment (legal experience is desired).
  • Minimum of four years' experience at this level.

Skills

  • Intermediate to Advanced skill level with Microsoft Office Suite (Outlook, PowerPoint, Excel and Word).
  • Basic skill level with Visio.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to build effective and trusting relationships.
  • Proven high-level organizational and time management skills.
  • Ability to think ahead, prioritize workload, respond to and manage changing circumstances.
