About the Role
Provides high-level administrative support to the Chief Advancement Officer (CAO) and serves as an essential partner for the Advancement Office. This role supports office programs, builds a culture of philanthropy, and acts as a key contact for alumnae, parents, and supporters. Requires excellent organizational skills, ability to manage complex schedules, board relations, and special initiatives.
Responsibilities
- Manage the CAO’s calendar, balancing donor visits, internal meetings, travel, and campus events.
- Arrange detailed domestic and international travel itineraries, accommodations, meeting agendas, and expense reports for the CAO.
- Serve as the first point of contact for the CAO’s office, handling inquiries with professionalism and confidentiality.
- Coordinate logistics for Board of Trustees Advancement Committee meetings with CAO, including materials distribution, document preparation, and official minute-taking.
- Coordinate donor correspondence for CAO including acknowledgments, and other communications.
- Prepare briefing materials, donor profiles, and presentation decks for donor meetings and cultivation visits in partnership with donor relations.
- Support Alumnae Relations to execute regional events/reunions, including printing, mailing invitations, preparing nametags, taking RSVPs, and other related tasks.
- Support Annual Giving efforts, including proofreading, mail-merging, printing, and mailing letters and appeals for giving societies and reunions.
- Oversee day-to-day administrative workflow for the Advancement Office, managing supplies, invoices, vendor payments, and budget tracking support for the CAO.
- Maintain confidentiality and sensitivity surrounding high-level donor data, financial contributions, and other sensitive information.
- Perform other duties as assigned by the Chief Advancement Officer.
Requirements
- Associates degree or at least three years administrative experience.
- Finely tuned organizational skills.
- The ability to manage multiple priorities and deadlines.
- Ability to work effectively with a range of constituencies, including alumnae, students, parents, faculty and staff.
- Dedication to a high level of confidentiality.
- Excellent computer skills including Word, Excel, Google and Word products.
- Preferred: some experience with database management such as Raisers Edge.
- Excellent proof reading ability.
- Ability to work independently.
- Appreciation for single-sex education for girls and a willingness to participate in the life of a boarding school community.
