About the Role
The Account Manager will manage speaking engagements, acting as the liaison between the Speaker's office and organizations. This role involves coordinating event details and travel, and supporting strategic research for engagements.
Responsibilities
- Manage the day-to-day operations of a speaker's event, coordinating with the Speaker's office, hosting organization, account team, and agency departments.
- Cultivate and maintain relationships with the Speaker's office, understanding their specific guidelines and protocols.
- Strategically manage hosting organization contacts to fulfill all event requirements related to the Speaker's participation.
- Develop and adhere to project timelines for all event deliverables from acceptance to event date.
- Manage the approval process for event logistics, marketing materials, content, and VIP components on behalf of the Speaker's office.
- Coordinate with internal teams, including accounting and contracts, for event execution.
- Track and compile travel expenses in collaboration with vendors, Speaker teams, and internal accounting.
- Prepare comprehensive briefing materials for the Speaker's office before each event.
- Provide daily communication and updates to both the Speaker's office and the hosting organization.
- Ensure understanding and communication of contractual terms.
- Offer insights and industry best practices.
- Facilitate effective communication and teamwork within multicultural teams.
- Deliver internal post-event recaps and briefings.
- Assist Speaker's offices with research on event elements.
- Work extended hours beyond traditional office hours during high-volume periods, including weekends or evenings as needed, due to the nature of live events and travel.
Requirements
- Bachelor's degree and 4-6 years of client-based servicing and/or events management experience.
- Experience in political advance and scheduling, general event logistics, travel coordination, executive support for high-level VIPs, and communications management.
- Direct experience staffing high-level VIPs (former or current elected officials, celebrities, or sports talent) is preferred.
- Ability to manage day-to-day relationships with clients, agency, and vendors.
- Experience with on-site event marketing operations and logistics.
- Experience working with internal teams (accounting/business affairs) and other agency partners.
- Superior client relationship/service skills.
- Strong ability to manage high volume of daily communications while prioritizing essential needs.
- Proven ability to think strategically and creatively.
- Ability to problem-solve independently and work collaboratively.
- Excellent time management, written, and oral communication skills.
- Understanding of Social Media platforms is preferred.
- Proficient in Microsoft Office Suite, Zoom, and other video conference platforms.
- Research experience and familiarity with research and vetting tools are preferred.
- A positive, problem-solving attitude and ability to respond to time-sensitive situations with ease.
