The Admissions Coordinator serves as a trusted guide for families exploring placement at Gersh Autism Academy, managing the family journey from initial inquiry through enrollment. This consultative sales role requires relationship-building, persuasive communication, program expertise, sound judgment, attention to detail, and disciplined follow-through to understand family needs, communicate program value, remove barriers, and guide families toward enrollment with empathy and precision.
Responsibilities
- Own the family journey from initial inquiry through enrollment and first day, ensuring every case has a documented status, next step, responsible party, and follow-up date.
- Respond and follow up with urgency, contacting prospective families promptly and maintaining consistent follow-up.
- Conduct consultative discovery to understand student needs, family priorities, placement timeline, attorney status, and potential barriers to enrollment.
- Deliver compelling program presentations through various communication channels.
- Create a high-quality family experience by building trust and communicating with empathy.
- Meet or exceed enrollment goals, consistently achieving monthly, quarterly, and annual expectations.
- Advance qualified families through the enrollment process, converting interest into completed applications, contracts, and starts.
- Manage the pipeline daily, prioritizing time-sensitive and at-risk cases.
- Maintain complete and accurate records in the designated CRM/database system.
- Document meaningful context in records for clear understanding by Admissions, Legal, and campus partners.
- Forecast and communicate likely enrollments, risks, and timing to appropriate stakeholders.
- Monitor and interpret performance by preparing and communicating enrollment statistics.
- Audit for quality, reviewing records and reports for inaccuracies and process gaps, and elevating recurring risks with proposed solutions.
- Maintain expert-level program knowledge of Gersh's campuses, programs, services, and admissions criteria.
- Translate complex information clearly and connect families to subject-matter experts when needed.
- Apply admissions policies and procedures consistently, using sound judgment within defined authority.
- Execute the admissions contact strategy, including required call volume, tour activity, and funnel management.
- Serve as a knowledgeable resource, sharing accurate information and providing training or coaching as assigned.
- Stay current with updates to programs, procedures, technology, and legal or funding processes.
- Build and sustain referral relationships with attorneys, medical professionals, evaluators, and other sources.
- Generate new opportunities through targeted outreach campaigns.
- Represent Gersh professionally at networking events, conferences, and community meetings.
- Follow through on relationships by maintaining organized records and honoring commitments.
- Partner across functions with the Admissions team, Legal, Corporate Management, school leadership, and other stakeholders.
- Coordinate recruitment activities, including tours, open houses, and outreach events.
- Communicate early and clearly with stakeholders regarding decisions, risks, and capacity concerns.
- Exercise practical judgment to resolve routine issues and escalate when necessary.
- Adapt to organizational needs by shifting priorities and supporting multiple campuses.
- Perform other duties as assigned with flexibility and a solution-oriented attitude.
Requirements
- Direct experience in admissions within an educational setting, ideally a private school, special education program, or therapeutic school environment.
- Demonstrated ability to discover needs, build trust, communicate value, address concerns, maintain follow-up, and move prospective families toward a decision.
- Ability to absorb complex information quickly, connect details across cases, ask strong questions, and apply knowledge accurately in new situations.
- Ability to anticipate obstacles, investigate root causes, generate practical options, use sound common-sense judgment, and move work forward with appropriate independence.
- Ability to adjust messaging, outreach, priorities, and approach based on needs while remaining aligned with policy and goals.
- Ability to establish credibility with families, referral sources, and internal partners and create an engaging experience.
- Strong accountability for outcomes, consistent follow-through, resilience, and willingness to achieve enrollment goals.
- Ability to manage multiple priorities in a fast-paced environment while maintaining meticulous records, deadlines, and follow-up.
- Highly developed verbal, written, presentation, and interpersonal communication skills, including the ability to tailor information to different audiences.
- Demonstrated proficiency with Microsoft Teams, Excel, Word, and PowerPoint.
- Ability to use a CRM/database accurately, learn new systems quickly, and use available tools to organize work, analyze information, and communicate effectively.
- Experience providing responsive, thoughtful service and creating a consistently positive experience for families.
- Receptive to feedback and willing to adopt new systems, procedures, and frameworks.
- Valid driver's license and willingness to travel regularly among campuses and out of state as required.
- Ability to help keep students safe from themselves and others and implement Crisis Prevention Intervention (CPI) procedures, including therapeutic holds.
- Ability to remove oneself from potentially harmful situations and assist in removing others from unsafe situations quickly.
- Ability to stand, walk, bend, kneel, and move throughout the workday.
- Ability to lift at least 50-65 pounds and assist, guide, or physically support students of varying sizes when required.
- Ability to physically intervene when required to ensure safety and in accordance with CPI training.
- Ability to maintain attention and focus in a dynamic, high-stimulation environment.
- Ability to manage multiple responsibilities and shift priorities quickly.
- Ability to exercise sound judgment and make decisions in high-pressure or safety-sensitive situations.
- Ability to work effectively as part of a team and maintain professional relationships.
