About the Role
The Constituency Assistant - Events and Community Engagement is responsible for planning, coordinating, and executing community events, meetings, and stakeholder engagement initiatives across the constituency. This role involves close collaboration with local organizations, community leaders, and residents to foster relationships and meaningful engagement opportunities. The successful candidate will help represent the MP at key community events and assist in organizing events hosted by the MP, including roundtables, town halls, and Q&A sessions.
Responsibilities
- Plan, coordinate, and execute the MP's community events, including roundtables, town halls, and other citizen engagement initiatives with a high degree of organization and attention to detail.
- Oversee the coordination, planning, and logistics of all events, including event flow, venue booking, and guest and volunteer mobilization.
- Manage the MP's Toronto schedule, including all important details, meeting objectives, and briefing notes, with rigorous attention to detail and planning.
- Ensure accurate documentation during meetings and prompt follow-up on files and subsequent public communications.
- Build and maintain strong relationships with community organizations, local leaders, stakeholders, and residents.
- Maintain databases and master lists containing key stakeholder information.
- Act as the primary point of contact for stakeholders by drafting and coordinating community correspondence, invitations, event-related communications, and engagement materials.
- Collaborate with colleagues and provide logistical, administrative, and on-site support to ensure the success of engagement activities and community outreach initiatives.
- Monitor community groups on key social media platforms and Google Groups to stay informed about local activities and issues, maintain strong community ties, and identify local concerns and engagement opportunities.
- Monitor local news and community activities to report on emerging local and national issues and contribute to proactive engagement efforts.
- Liaise with office colleagues, departmental contacts, the Research Bureau, and the MP to find solutions to issues raised.
Requirements
- Ability to take initiative and be proactive when necessary, identifying gaps and opportunities for improvement.
- Excellent organizational skills and a high degree of attention to detail.
- Experience working with or engaging community organizations, clubs, student groups, or non-profit organizations.
- Experience in event planning or coordination in a professional, volunteer, student, or community setting.
- Experience with public speaking and presentation.
- Strong project management and coordination skills, with the ability to manage multiple priorities.
- Excellent interpersonal skills and a demonstrated ability to build and maintain relationships.
- Knowledge of the Davenport constituency.
- Valid driver's license and access to a reliable personal vehicle.
- Availability to work evenings and weekends as needed.
