About the Role
Find an innovative, patient-focused culture dedicated to improving patient health and quality of life. This role is vital for the smooth daily flow of the Radiology department.
Responsibilities
- Coordinate patient appointments and monitor critical access points.
- Participate in department and modality specific training.
- Back up scheduling processes and phones for other areas such as Vascular Lab and DXA, as well as affiliate sites.
- Demonstrate excellence in all patient and customer encounters.
- Provide administrative and/or clinical support to ambulatory patient care teams.
- Ensure a high-quality patient experience through excellent customer service, attention to detail, and interpersonal skills.
- Provide clear, accurate, and timely communication to technologists, nurses, and providers.
- Accurately and appropriately schedule patients for optimum care and provider efficiency.
- Collect demographic and financial information during scheduling and/or registration processes for revenue capture.
- Process payments, handle cash, and manage insurance eligibility and managed care information.
- Provide high-quality administrative support to modalities.
- Answer, screen, and triage phone calls using the Bassett three-part greeting.
- Take detailed and accurate messages and ensure follow-through.
- Process incoming correspondence in a timely and confidential manner.
- Process clinical paperwork (requisitions, screening shots, reports) in a timely and confidential manner.
- Obtain requisitions from ordering provider’s offices in advance of scheduled appointments.
- Schedule outpatient appointments via telephone, referral work queues, and EMR messaging.
- Cross-train to all appropriate scheduling and registration functions and locations.
- Coordinate the scheduling of Anesthesia and biopsy cases, and other interventional procedures.
- Initiate and coordinate with appropriate entities for pre- and post-procedure requirements.
- Collect and record all pertinent information for prior authorization.
- Coordinate and order isotopes for weekly PET/CT schedules.
- Function independently using all available resources and tools.
- Actively promote quality healthcare through continual learning, proactive communication, and teamwork.
- Proactively resolve problems and make decisions within the scope of authority.
- Raise emergent situations or expressed patient problems to a supervisor or manager.
- Present a positive image of Bassett Healthcare Network.
- Ensure the confidentiality of protected health information.
- Discuss patient care issues privately and quietly.
- Act as a receiving point for patient concerns and complaints, referring unresolved issues to a supervisor or manager.
- Cover multiple functions in a single shift as needed.
- Coordinate appropriate clinical appointments for Radiologist staff.
- Train and serve as a resource for new staff.
- Maintain competency in programs required for daily responsibility.
- Attend all required in-services.
- Identify the need for computer training and attend as necessary.
- Attend departmental staff meetings.
- Maintain job-specific knowledge and proficiency in systems like Cadance, Radiant/EPIC, RIS.
- Maintain competency in all required computer programs.
- Register new and established patients, updating insurance as necessary.
- Schedule Radiology-specific modality appointments.
- Schedule Vascular Lab and DXA exams as a backup.
- Enter exams into the system with accuracy.
- Update ordering providers in the system.
- Change and cancel exams in the system.
- Release proper orders from EPIC.
- Run clinical and laboratory documentation from EPIC.
- Ensure ABN requirements are complete.
- Maintain departmental scheduling protocol knowledge.
- Schedule at Bassett affiliate locations.
- Cover affiliate scheduling lines when requested.
- Report instances of excessive backlog for any given modality.
- Notify ordering provider’s offices of no-shows and same-day cancellations.
- Maintain Radiant scheduling accuracy.
- Attend review sessions or refresher courses annually.
- Comply with all downtime procedures for scheduling.
- Collect Radiology co-pays using electronic eligibility systems.
- Have financial conversations with patients regarding ABN’s and waivers.
- Assist with scheduling coverage for Vascular Lab and DXA.
- Collaborate with P3 or insurance companies in troubleshooting problem authorizations.
- Complete the outpatient registration process accurately and efficiently.
- Ensure correct data capture and entry for regulatory agencies and compliance requirements.
- Maintain required knowledge and proficiency in core front desk functions.
- Greet patients quickly and courteously.
- Distribute and document Advanced Directive information.
- Receive and record all co-payments with accuracy.
- Maintain and balance daily cash bag.
- Help with cross-department coverage in cases of emergency need.
- Maintain competency in all registration computer programs (AccuReg and EPIC).
- Comply with all downtime procedures for registration.
- Perform other duties as requested.
Requirements
- High School Diploma or GED required.
- Minimum 2 years of experience in a busy office environment, dealing with the public and inbound phone calls required.
- Associate degree will waive one year of experience.
