About the Role

The Fraunhofer Heinrich Hertz Institute HHI is seeking a Chief of Staff to serve as the closest strategic and operational partner to the Executive Director. This role involves integrating complex initiatives, shaping the research agenda, managing leadership processes, orchestrating international relations, and ensuring the leadership team has necessary information and opportunities.

Responsibilities

  • Shaping the research agenda by preparing and driving strategy processes, portfolio reviews, and position papers.
  • Translating complex, multi-domain research into strategic priorities.
  • Managing a world-class institute by turning the Director’s priorities into coordinated action and ensuring decisions are followed through.
  • Acting as the hub for the institute’s international relationships, delegations, and the Director’s international agenda.
  • Orchestrating the institute’s presence at leading international exhibitions and conferences, including communication.
  • Supporting the Executive Director in developing and reviewing the institute’s strategy and research portfolio.
  • Preparing strategy processes, leadership retreats, and position papers.
  • Monitoring emerging technology, market, and policy trends and bringing them to the leadership’s attention.
  • Preparing and following up on the institute’s executive leadership meetings, including agendas, briefing papers, and minutes.
  • Systematically tracking decisions and action items until closure.
  • Managing the Director’s critical short- and long-term priorities.
  • Running special projects on the Director’s behalf.
  • Acting as the integrator between the Director, department heads, and administration.
  • Acting as the central hub for international relations, from partnership agreements to delegation travel.
  • Planning and orchestrating high-level visits by ministers, industry executives, and international delegations.
  • Coordinating the institute’s corporate communication across press, web, social media, and publications.
  • Coordinating the institute’s presence at leading international exhibitions and conferences.
  • Continuously monitoring open and upcoming calls for funding from German federal and state ministries and EU programs.
  • Assessing the relevance of funding calls and policy developments for the institute.
  • Informing department heads about funding opportunities and tracking deadlines.
  • Supporting the institute’s positioning towards ministries and funding agencies.
  • Collecting, consolidating, and quality-checking key institute data (finances, personnel, projects, publications, patents, industry revenue, KPIs).
  • Maintaining the institute’s fact base and management dashboard.
  • Preparing reports, briefings, speaking notes, and presentations for the Director and governing bodies.
