About the Role
Clio is seeking a Marketing Specialist to join the Enterprise Marketing team in Toronto. This role is the operational and administrative backbone of Enterprise Marketing, managing project plans, purchase orders, contracts, and budgets to ensure smooth operations for events and community programs.
Responsibilities
- Build and maintain project plans, timelines, and task boards in Asana for events, sponsorships, and community programs.
- Manage event status cadences, including planning meetings, stand-ups, status updates, and post-event retrospectives.
- Surface slipping items and risks in project timelines early.
- Own and maintain the budget tracker, monitoring spend against budget by event and program.
- Reconcile actual spend against forecast with Finance.
- Monitor commitments and accruals, providing a current view of committed and remaining budget.
- Raise, submit, and track purchase requisitions and purchase orders in Coupa.
- Onboard new suppliers and resolve blocked or rejected requisitions.
- Match invoices to POs and chase approvals.
- Act as the team's first point of contact for Coupa-related inquiries.
- Route vendor, venue, sponsorship, and partner agreements through legal, procurement, privacy, and security review.
- Track agreement status, flag renewal and expiry dates, and maintain the contract register.
- Gather necessary information for reviewers to prevent agreement delays.
- Coordinate with Finance and Accounts Payable on invoicing, payment queries, vendor set-up, month-end close inputs, and expense reconciliation.
- Resolve discrepancies between contracted, ordered, and invoiced amounts.
- Support event delivery end-to-end, including registration lists, shipping, inventory, supplier and venue bookings, attendee communications, and on-site materials.
- Provide on-the-ground support for key events across the GTA & US (3-5x per quarter).
- Act as a point of contact for internal stakeholders and external vendors on event timelines, deliverables, and approvals.
- Ensure requests to design, video, or content teams are complete before handoff.
- Keep shared drives, asset libraries, distribution lists, team calendars, and the marketing calendar organized and current.
- Document and maintain recurring processes, such as procurement, contract routing, budget reporting, and event run-of-show.
- Implement learnings from retrospectives into future program execution.
- Act as a general administrative partner to the Sr. Director, Enterprise Marketing and the leadership group.
- Perform other duties as assigned.
Requirements
- 3-5 years in an events, marketing operations, procurement, or administrative coordination role.
- Budget tracking and management experience, including owning a tracker, reconciling actuals to forecast, and reporting on spend.
- Hands-on experience with a financial or procurement platform (Coupa specifically is a strong advantage; comparable systems transfer well).
- Hands-on experience with a project management platform (Asana specifically is a strong advantage; Monday, Wrike, Smartsheet, or Jira transfer well).
- Strong spreadsheet skills, including formulas, pivot tables, and reconciliation.
- Exposure to contract routing and legal, procurement, or privacy review processes.
- Exceptional organization and follow-through skills.
- Clear, calm written communication skills.
- Confidence to chase senior stakeholders and external vendors without friction.
- Discretion with commercial and contractual information.
