About the Role
The Assistant Community Manager serves as the primary liaison between the Onsite Manager, homeowners, Board of Directors, Committee Members, and association management staff. This onsite role supports the Onsite Manager with essential office, administrative, and clerical functions, including coordination, scheduling, and project management. Success in this position requires strong team collaboration and a customer service-driven approach.
Responsibilities
- Meet and greet homeowners, residents, Board of Directors members, maintenance vendors, and contractors.
- Respond to inquiries via in-person, phone, and email.
- Activate and issue pool passes, parking passes, and key fobs.
- Receive, sort, log, and distribute mail and packages.
- Enter and update data in the database, recording and tracking documents and information.
- Issue violation letters to homeowners and follow up on corrections.
- Assist with maintenance requests and work orders, scheduling and coordinating vendors and contractors.
- Assist in preparing board packages and coordinate/schedule board meetings.
- Create and send weekly mass communications regarding onsite maintenance, HOA guidelines, and community events.
- Assist homeowners with monthly payments, account research, and delinquencies.
- Assist homeowners with architectural review forms and follow up on Board decisions.
- Support other assigned projects.
Requirements
- 2+ years of administrative and clerical support experience in community association, apartment management, leasing, vacation rental, hotel, or hospitality.
- Customer service driven and team oriented.
- Excellent written and spoken communication skills.
- Knowledge of conflict resolution techniques.
- Effective project management skills with the ability to prioritize and manage multiple projects.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
