Responsibilities

  • Implementation and ongoing monitoring of administrative and clinical systems that support patient care within the assigned practice.
  • Facilitate the implementation and oversight of a Social Care Network in collaboration with Care Specialists, to offer services and social activities to patients and community members.
  • Develop and support employees at all levels in a supportive atmosphere.
  • Plan, direct, and participate in regularly scheduled meetings and conferences with staff.
  • Inform staff of organizational changes and their impact.
  • Provide a link between organizational management and site staff.
  • Coach groups towards self-direction and team empowerment.
  • Exercise patience and control, resolving identified issues and conflicts appropriately.
  • Assist with the development of cycles, objectives, and outcome measures.
  • Assure competencies of administrative and support staff through orientation, evaluation, and ongoing training.
  • Serve on quality improvement teams, implementing and monitoring performance indicators using NCQA and PCMH principles.
  • Conduct ongoing performance improvement activities related to patient/employee satisfaction and patient flow.
  • Coordinate utilization and review and management with clinical teams.
  • Manage hiring, counseling, disciplinary actions, and terminations in collaboration with HR.
  • Administer performance evaluations of subordinate staff.
  • Provide adequate coverage with qualified employees and oversee day-to-day operations including registration, scheduling, insurance verification, and billing.
  • Oversee health information/medical records functions.
  • Provide excellent customer service, responding to patient and staff complaints.
  • Oversee internal and external referrals, ensuring timely closure.
  • Ensure provider schedules are at capacity.
  • Oversee and monitor patient access to appointments and medical services.
  • Ensure all required medical equipment and office supplies are available and meet standards.
  • Oversee time of service collection, insurance eligibility, and complete registration.
  • Recommend master staffing patterns and personnel complements.
  • Monitor hours worked, including overtime, for site personnel.
  • Complete paperwork for purchasing and payment of supplies and services.
  • Monitor revenue, salary, and non-salary expenses in accordance with budget.
  • Participate in the budget process of the site.
  • Make recommendations for program changes and new programs with supporting data.
  • Project capital equipment needs and make recommendations for acquisition.
  • Interpret budget to staff and set expectations for staff involvement in cost containment.
  • Write reports and maintain records and documentation as required.
  • Demonstrate excellence in customer service.
  • Effectively communicate HIPAA compliance and corporate compliance.
  • Ensure compliance with local, state, and federal regulations.
  • Adhere to national patient safety goals.
  • Complete other duties as assigned.

Requirements

  • Associates Degree in business or related field; 5 to 7 years of relevant experience may be substituted for a degree.
  • Five years of supervisory/managerial experience.
  • Proficiency in using a practice management system.
  • Knowledge of professional procedures.
  • Excellent verbal and written communication skills.
  • Proficient with Microsoft Word and Excel.
  • Demonstrates cultural sensitivity and competency related to populations served.
  • Flexibility to adjust to schedule changes as needed.
  • Bachelor’s degree in business or related filed (preferred).
  • Experience in conflict resolution (preferred).
  • Bi-lingual (Spanish/English) (preferred).
