About the Role
Ellipsis Labs is seeking an Operations Associate to join their team. This role will serve as the operational backbone of the company, managing systems and daily execution for smooth startup operations, from office management to executive support and recruiting logistics. It's a high-visibility generalist position offering broad exposure to company operations and significant ownership from the start, with opportunities to develop and enhance processes during scaling.
Responsibilities
- Own the day-to-day operations that keep our office running well, including developing a strong sense of what the space needs before it becomes a problem
- Manage inventory, including laptop procurement and coordinating repairs or replacements when equipment breaks
- Work with the team to craft best in class events, end-to-end
- Own the guest experience
- Own all things food for the team, including daily lunch and dinner, and keeping snacks and drinks stocked
- Support the logistics and administrative work of an upcoming office move
- Work with our head of talent on interview scheduling and on-site coordination
- Keep our recruiting systems clean and up to date
- Coordinate onboarding and offboarding for new hires and departing employees
- Own our cofounders' calendars
- Schedule business dinners on an as-needed basis
- Handle one-off requests as they come up
Requirements
- Strong organizational and systems-thinking skills: you naturally look for ways to turn ad hoc work into repeatable process
- A demonstrated bias toward action: you take ownership of a problem and see it through without needing to be told twice
- Excellent written and verbal communication
- High discretion and sound judgment, particularly around confidential calendar and business information
- No task too big or small: comfortable with hands-on work like restocking, setup, and other physical tasks alongside higher-level project work
- Natural project and vendor management instincts, with the ability to set clear expectations and hold vendors accountable
- Comfortable operating in-person, in a fast-paced startup environment where priorities shift day to day
