About the Role

Responsibilities

  • Assist the Regional Business Administration Manager in developing and implementing standardized business support processes.
  • Perform timesheet data entry and submit manual overrides to Payroll weekly.
  • Track vacation, sick, and floating holiday usage.
  • Review and correct Kronos Exception Report weekly.
  • Maintain electronic file storage of timesheets.
  • Setup prevailing wage rates in the PWS system weekly.
  • Send Certified Payroll Reports and Statements of Compliance to customers weekly.
  • File Certified Payroll Reports and Statements of Compliance electronically.
  • Submit PW restitution requests for processing.
  • Manage Accounts Payable invoice queue in Basware Alusta.
  • Coordinate PO receipts and PO adjustments for timely invoice processing.
  • Review ACE Accrued Receipts report monthly and submit adjustments.
  • Perform invoice research of monthly statements and respond to inquiries.
  • Complete and submit manual check requests for immediate payments.
  • Complete and submit out of cycle payment requests.
  • Assist local requesters with new supplier setups and manage the process.
  • Perform supplier updates and changes.
  • Manage the process for refund checks and returned/unused checks.
  • Act as district contact with various internal teams (Vendor Master, PBC Invoice Processing, etc.).
  • Maintain and replenish office supplies.
  • Route incoming calls and distribute mail.
  • Perform other duties as directed by the RBAM.

Requirements

  • High School Diploma
  • Strong understanding of prevailing wage and certified payroll in New York State
  • Strong attention to detail
  • Excellent organizational skills
  • Proficient in MS Excel and Word
  • Ability to multi-task in a fast-paced, deadline-driven environment
  • Excellent written and verbal communication skills
  • Ability to prioritize projects
  • Strong problem-solving skills
  • Good research skills
