About the Role

Maintain a presence on the front reception desk, offering assistance to all personnel and visitors. Sustain a professional outlook to deliver exceptional service and create a lasting impression.

Responsibilities

  • Ensure the reception area is clean, tidy, and welcoming, meeting five-star audit standards.
  • Maintain a consistently high standard of personal appearance and display a courteous, professional, and helpful nature.
  • Wear supplied uniform, keeping it in acceptable and clean condition at all times.
  • Carry out duties in accordance with instructions from supervisors.
  • Comply with all assigned reception processes, procedures, and standards of work.
  • Establish professional working relationships with staff, tenants, and contractors, serving as the first point of contact.
  • Greet all visitors, maintaining an accurate log of their records.
  • Contact occupying tenants prior to visitor access to obtain authorization.
  • Promptly assist and direct visitors to their required location or contact within the building.
  • Answer telephone and intercom systems professionally for tenant queries.
  • Maintain an up-to-date reception operations manual detailing site/tenant specific and department processes and procedures.
  • Maintain a physical presence at the reception desk, ensuring it is never left unmanned during opening hours.
  • Deal with all on-site queries efficiently and professionally, directing them to third parties when appropriate and informing the querent of the action, outcome, and timeframe.
  • Sign in deliveries for tenants, documenting them and obtaining tenant signatures upon ID verification.
  • Acquire working knowledge of property systems and procedures to manage the property during team member absences.
  • Complete all required log reports accurately.
  • Do not undertake tasks posing a health and safety risk unless suitably trained.
  • Assist other staff, building occupiers, and visitors during emergencies.
  • Comply with and ensure landlord obligations for health and safety and fire precautions are met.
  • Ensure contractors adhere to site health and safety requirements.
  • Abide by all company rules, terms, and conditions.
  • Undertake unpredictable and varied tasks as required, working in a flexible manner.

Requirements

  • General Education to GCSE standard or equivalent.
  • Ability to deal with confidential information.
  • Willingness and ability to learn on the job.
  • Keen to undertake training and career development.
