About the Role

The Procurement Supervisor is responsible for the day-to-day procurement operations of the hotel, including quotation management, price negotiation, supplier sourcing, receiving and inspection, inventory control, and monthly closing. This position works closely with hotel departments and suppliers to ensure that required goods and services are procured efficiently, at appropriate prices and quality standards, while maintaining accurate purchasing records and complying with hotel procedures.

Responsibilities

  • Handle requests for quotations and compare supplier proposals
  • Negotiate prices and purchasing terms with suppliers
  • Source and develop new suppliers based on operational requirements
  • Manage receiving, inspection, and delivery of purchased goods
  • Process and maintain delivery slips and related purchasing documentation
  • Perform monthly procurement closing procedures and ensure accurate records
  • Manage inventory and support periodic stock counts
  • Manage and maintain the hotel’s procurement system and purchasing data
  • Prepare documentation and provide support for internal and external audits

Requirements

  • Previous experience in procurement, purchasing, receiving, inventory control, or a related field
  • Hotel or hospitality industry experience preferred
  • Strong negotiation, communication, and coordination skills
  • Good numerical accuracy and attention to detail
  • Ability to manage multiple tasks and meet monthly deadlines
  • Proficiency in Microsoft Excel and general office applications
  • Experience using procurement or purchasing systems preferred
  • Business-level Japanese; English communication skills are an advantage
