About the Role

This role provides administrative and reception support to ILSC & Greystone College Sydney, ensuring smooth daily operations and a positive experience for students, agents, and visitors.

Responsibilities

  • Liaise with Local and National Academic Teams for consultation on specific cases.
  • Generate and distribute weekly student intake reports.
  • Ensure accurate storage of student information in the system.
  • Action student requests or redirect them to appropriate teams.
  • Issue Academic Enrolment Letters.
  • Understand key regulatory compliance requirements (ESOS Act, National Code 2018, ELICOS Standards 2018, NEAS).
  • Assist Academic Teams with assigned tasks.
  • Perform other duties or projects as determined by the National Director.
  • Greet students, agents, and visitors warmly and professionally.
  • Answer phones, transfer calls, and take messages.
  • Assist students, agents, and visitors with questions and direct them to the correct staff/department.
  • Prepare new student orientation and intake documents.
  • Support local teams with the weekly orientation process for new students.
  • Manage textbook inventory.
  • Update academic management system (Odyssey), learner management system (MOODLE), and other databases (PRISMS).
  • Assist students with myILSC App login issues.
  • Prepare graduation certificates and letters of completion.
  • Purchase OSHC and ensure students receive insurance cards.
  • Order and manage stationery and school supplies.
  • Perform coffee and snack runs for guests.
  • Coordinate with cleaners for campus cleanliness.
  • Attend general staff meetings and training sessions.
  • Support on-campus marketing initiatives by conducting school tours, assisting with promotional events, and providing school information.

Requirements

  • Minimum 2 to 5 years’ experience in customer service.
  • Full work rights for Australia required.
  • Valid Working With Children Check (WWCC).

  • Excellent working knowledge of computer systems.
  • Proven customer-service skills.
  • Ability to respond appropriately and promptly to a variety of enquiries.
