About the Role
Field Engineering Services, a division of RISE Group, Inc., is seeking a highly organized and detail-oriented Operations Assistant to support our field operations team. This position plays a critical role in ensuring the successful execution of engineering and inspection projects by providing administrative, travel, reporting, and logistical support to field engineers, technicians, and management.
Responsibilities
- Coordinate business travel arrangements including flights, hotels, rental vehicles, and related travel logistics for field personnel.
- Prepare and process employee expense reports in accordance with company policies.
- Enter, review, and maintain employee timecards and related payroll documentation.
- Coordinate ordering, receiving, inventory tracking, and shipment of equipment, supplies, and project materials.
- Prepare shipping documentation and coordinate deliveries to project sites throughout the United States.
- Assist with the preparation, assembly, formatting, and distribution of engineering reports and client deliverables.
- Maintain project files, records, databases, and electronic documentation systems.
- Perform data entry and ensure accuracy of project and operational information.
- Monitor office and field supply inventories and coordinate replenishment as needed.
- Provide administrative support to engineers, technicians, project managers, and department leadership.
- Assist with scheduling meetings, coordinating calendars, and supporting departmental initiatives.
- Communicate professionally with employees, vendors, clients, and subcontractors.
- Support special projects and perform additional duties as assigned.
- Occasional after-hours or weekend work is required during peak project seasons in Fall and Spring.
Requirements
- Associate degree or equivalent combination of education and administrative experience.
- Minimum of 2 years of administrative, office support, project coordination, or related experience.
- Proficiency in Microsoft Office applications including Word, Excel, Outlook, and Teams.
- Strong organizational and time-management skills with the ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- High attention to detail and commitment to accuracy.
- Ability to maintain confidentiality and exercise good judgment.
- Strong customer service and interpersonal skills.
- Ability to work independently and collaboratively within a team environment.
