About the Role

The Research Foundation for Mental Hygiene is seeking a qualified candidate to fill a full-time Administrative Assistant position. This role provides essential office support, managing schedules, coordinating meetings, handling correspondence, and ensuring the seamless operation of the California Center of Excellence project under the IPS Employment Center at RFMH, Inc.

Responsibilities

  • Serve as a point of contact for the California project.
  • Assist in monitoring the CA project email account.
  • Schedule meetings and appointments, including calls with counties, Zoom or Teams meetings, and Outlook invitations.
  • Monitor submissions to the data system and follow up with IPS supervisors as needed.
  • Manage travel authorizations and reimbursements for California Trainers, including making travel arrangements, reviewing receipts, ensuring vouchers adhere to travel policy, routing for signatures, and processing through TIQR.
  • Provide project support, including tracking deadlines.
  • Take and share meeting minutes in a Teams folder for meetings such as team meetings and baseline assessments.
  • Assist with updating contact information for counties, agencies, and programs.
  • Assist in entering trainer information into a monthly report.
  • Maintain records in a shared file for on-site training, virtual training, on-site TA, fidelity reviews, fidelity action plans, and agreements.
  • Participate in scheduled meetings as assigned.
  • Perform other duties as assigned.

Requirements

  • High school diploma with five years of administrative assistance experience in an office setting; or associate's degree with three years of such experience; or Bachelor's degree with two years of such experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Attention to detail.
  • Excellent time management skills.
  • Ability to prioritize work and handle multiple tasks and projects.
