About the Role

Forum Asset Management is seeking an Administrative Assistant | Front Office Reception to serve as a key point of contact, maintaining a welcoming and professional environment. This role is ideal for an experienced administrative professional with a positive attitude, excellent organizational skills, and a strong work ethic.

Responsibilities

  • Welcome visitors and ensure they are properly directed.
  • Maintain boardroom bookings and monitor the main office phone line.
  • Order and restock office supplies and groceries.
  • Maintain and monitor office supply inventory levels.
  • Monitor the kitchen, boardrooms, and common areas for order and cleanliness.
  • Coordinate couriers and distribute mail.
  • Update and maintain corporate subscriptions and memberships.
  • Perform monthly reconciliation of corporate credit cards.
  • Track and remind team members of quarterly objectives.
  • Record, track, and maintain document storage and filing systems.
  • Serve as liaison between IT vendor and internal team for issue resolution.
  • Coordinate maintenance service tickets and appointments with property management.
  • Support the Senior EA and undertake administrative tasks as assigned.
  • Provide administrative support to the broader team, including leadership, for tasks like updating presentations, scheduling travel, and calendar management.
  • Assist with new employee workstation setup, internal relocations, and new hire onboarding scheduling.
  • Assist with event planning and support evening events.
  • Support and participate in the Health & Safety Committee, policy updates, and programs.

Requirements

  • Proficiency in Microsoft Office.
  • Ability to multitask and approach problem-solving creatively.
  • High attention to detail and accuracy.
  • Ability to deal with ambiguity and handle changing and competing priorities.
  • Demonstrated ability to learn quickly and possess organizational awareness and business acumen.

Salary/Compensations

  • $50,000 – $60,000 CAD
  • 10% target bonus
