About the Role
This role supports the Property Manager(s) and Client by managing vendor accounts, purchase orders, and invoices for project management and facilities contracts. It requires strong administrative and task management skills in a fast-paced, collaborative environment.
Responsibilities
- Process purchase orders with appropriate approvals.
- Meet with budget stakeholders to review budget sheets and record PO data accurately.
- Process invoices following internal policies and procedures.
- Maintain orderly files and records of supporting documentation.
- Work with vendors to resolve pending issues and reconcile accounts.
- Prepare regular and ad hoc management reporting.
- Review submitted documents for accuracy.
- Strive for efficiency and improvements to maximize Client ROI.
- Oversee the shared inbox for timely responses.
- Supervise the ACH account reconciliation process.
- Investigate discrepancies among vendor quotes, POs, and invoices.
- Develop and maintain project plans and track project budgets.
- Uphold company policies regarding professional behavior.
- Perform other related duties as requested.
Requirements
- Bachelor's degree and 1-2 years of industry experience.
- SAP knowledge and experience are preferred.
- Strong organizational skills and follow-through.
- Ability to proactively set priorities and meet deadlines.
- Ability to work under pressure and maintain a friendly, enthusiastic, and welcoming disposition.
- Excellent analytical and numeracy skills.
- Strong understanding of financial impacts pertaining to all departments.
- Logical and practical thinking, with excellent resourcefulness and problem-solving skills.
- Highest standard of confidentiality, discretion, and work ethic.
- Ability to work both independently and to partner with colleagues.
- Proficient use of Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel) and Google Drive.
- Excellent verbal and written communication, presentation, and interpersonal skills.
- Proven record of providing excellent internal and external customer service.
