About the Role
We are seeking a PA and Senior Team Assistant to provide high-quality administrative, organisational, and coordination support, predominantly for the Managing Director and members of the Senior Leadership Team. This role involves managing diaries, travel, logistics, and supporting meetings, office activity, and key business events, offering exposure to senior stakeholders and opportunities to contribute to team culture and events.
Responsibilities
- Provide proactive administrative and coordination support to the Managing Director.
- Manage diaries and meetings across regions and time zones.
- Act as a trusted point of contact, handling correspondence with professionalism and discretion.
- Organise meeting logistics including rooms, AV/IT support, refreshments, and agendas.
- Support preparation of meeting materials and follow up on actions.
- Raise PO’s for key stakeholders.
- Welcome and coordinate external clients and visitors.
- Work with HR and managers to support the onboarding of new joiners.
- Work with HR to organise and book company training.
- Assist with the preparation and formatting of presentations, documents, reports, and company offsites.
- Manage email distribution lists.
- Arrange domestic and international travel, including visas for the Senior Management Team.
- Create clear and detailed travel itineraries.
- Manage travel bookings and expenses efficiently.
- Support office management activities as needed.
- Ensure the workspace is tidy and fit for purpose, including management of office supplies.
- Assist in the planning and delivery of internal and external events.
- Contribute to creating a positive and well-organised working environment.
Requirements
- Experience supporting multiple stakeholders in a fast-paced environment.
- Strong diary management skills across multiple time zones.
- Experience organising international travel and itineraries.
- High level of discretion and professionalism.
- Proactive, organised, and able to anticipate stakeholder needs.
- Confident working independently and managing competing priorities.
- Strong judgement and decision-making in complex situations.
- Calm under pressure and highly organised.
- Personable and confident interacting with senior stakeholders and clients.
- Hands-on and willing to support across both executive and office needs.
- Eager to learn, grow, and build new skills.
Skills
- Similar role experience (Team Assistant, PA, or Office Manager).
- Computer literate with strong knowledge of all Microsoft packages.
- High degree of numeracy, literacy and problem-solving skills.
- Ability to exercise sensitivity, tact and diplomacy when providing administrative support.
- Excellent Communication skills.
