About the Role

This role is a key senior position within the investor administration team, providing support to a large secondary fund client with an active investment portfolio. The position involves liaising with internal teams and the Investment Advisor, managing cash, handling investor administration, and addressing ad-hoc queries within set timeframes to meet client KPIs. Achieving signatory status is an expectation post-probation.

Responsibilities

  • Provide premier client service by building strong relationships with the Investment Advisor and third parties.
  • Develop a thorough understanding of the client and their specific process requirements.
  • Collaborate with the client to resolve queries.
  • Work with internal teams to ensure client deliverables are met.
  • Maintain a good understanding of the fund administration business.
  • Perform end-to-end unit pricing cycle tasks.
  • Action ad-hoc cash management items as they arise.
  • Process payments on banking portals.
  • Complete monthly client monies and bank reconciliations.
  • Undertake the investor call/distribution process from end to end.
  • Complete the investor transfer process.
  • Process investor contact and bank detail updates.
  • Monitor investor audit confirmations.
  • Handle investor and fund tax reporting.
  • Manage fund closings.
  • Monitor mailboxes and complete tasks assigned by team leadership.
  • Review the work of junior team members.
  • Support other team members with workloads and rotate tasks.
  • Identify efficiencies and areas for improvement to reduce risk.
  • Ensure optimal utilization of available technology.
  • Collaborate with technology teams to resolve issues and improve processes.
  • Work with legal/compliance to ensure regulatory adherence.
  • Report operational issues to management.
  • Flag service delivery issues early when delays are anticipated.
  • Conduct ongoing reviews of daily controls and communicate new ideas or procedural changes.

Requirements

  • Previous experience as a Senior Fund Administrator with signatory responsibilities is preferred.
  • 2-4 years of fund administration experience in a reputable fund manager, custodian, or administrator.
  • Experience in preparing financial statements under AASB/IFRS and finalizing audits for investment funds.
  • Experience in AU distribution calculations for Trusts.
  • Possess excellent organization skills with the ability to handle multiple priorities.
  • Have an enthusiastic approach and positive attitude.
  • Demonstrate customer service orientation with a concern for quality.
  • Possess good analytical and problem-solving skills.
  • Show initiative to prepare procedures and checklists.
  • Ability to set priorities and manage deadlines.
  • Advanced Excel skills.
  • Knowledge of Investran is an advantage.
  • Industry knowledge including financial instruments, local regulations, and laws.
  • Exposure to assurance, risk, and compliance is an advantage.
  • Good team player, self-starter, flexible, and able to work under pressure with minimal supervision.
