About the Role

This position performs professional-level work involving research and analysis of administrative and operational support duties in project management, quality management, performance measurement, change management, and business process improvement. It provides support to senior process consultants, auditors, and team leaders.

Responsibilities

  • Assists in planning, executing, and closing projects in various operational and/or administrative situations.
  • Develops and maintains databases to support data analysis and research findings for business projects.
  • Assists in preparing recommendations for implementing new or revised policies, procedures, and/or process changes/improvements.
  • Writes reports summarizing findings, data collection techniques, and implementation options.
  • Establishes project schedules using project planning software/tools, updates, and maintains project status reports.
  • Communicates project/process status.
  • Conducts research, analyzes trends, determines data accuracy and relevancy, and uses sound judgment to evaluate alternatives.
  • Facilitates and documents meetings, action items, and processes using flowcharting methodologies.
  • Maintains positive working relationships with managers, supervisors, employees, and other stakeholders to gain cooperation and support.
  • Manages the Request for Council Action (RCA) Program and the Administrative Remedies Program to ensure accurate, compliant, and timely procurement actions.
  • Oversees high-volume RCA coordination and directs administrative remedy case management.
  • Drives improvements to workflows, systems, templates, and data integrity.
  • Conducts professional research, project management, process analysis, and documentation.
  • Maintains multisystem records.
  • Prepares reports and recommendations.
  • Coordinates communication across departments.
  • Supports consistent program standards and provides guidance, coaching, and work direction to staff.
  • Maintains strong working relationships with executives, legal counsel, the Austin City Manager’s Office, and other stakeholders.

Requirements

  • Must possess required knowledge, skills, abilities, and experience to perform essential job functions.
  • Experience with governing boards and open meetings requirements.
  • Experience with document workflows and related software such as SharePoint and Legistar.
  • Strong written and interpersonal skills with the ability to communicate time-sensitive information effectively with different levels of an organization.
  • Experience gathering, analyzing, and utilizing data to support program process improvements and program reporting.
  • Ability to travel to more than one work location.
  • Must be able to travel when necessary to multiple locations as part of regular job duties.
  • A detailed, complete COA employment application is required.

Work Type

  • Telework opportunities may be available after an initial training period.
  • Staff eligible to telework must be in the office for at least 40% of their scheduled work week.

Experience Level

  • One (1) year experience related to the job.
  • Experience may be substituted for education up to a maximum of four (4) years.

Education Level

  • Graduation with a Bachelor’s degree from an accredited college or university with major coursework in a field related to the job.

Salary/Compensations

  • $62,280.00 – $77,850.00
