About the Role
The HOPE Program is seeking a Program Manager to oversee the daily operations of its green economy training programs and supervise Crew Supervisors. This role is responsible for managing the training site, participant experience, and resolving operational issues. The Program Manager will also coordinate internship placements and provide support to the Director.
Responsibilities
- Serve as the daily operational lead for the Bronx site, including opening and closing procedures and ensuring readiness of facilities.
- Arrange daily participant meals, managing vendors and budget.
- Manage OMNY card and transportation benefit distribution, maintaining inventory and reconciling weekly.
- Act as first responder for issues during the program day, addressing conflicts, reporting failures, and handling vendor or scheduling problems.
- Apply HOPE’s incident reporting protocols and complete necessary documentation.
- Directly supervise two Crew Supervisors, setting goals, conducting one-on-ones, and providing feedback.
- Build and publish the weekly Crew Supervisor schedule, adjusting for changes.
- Observe and coach Crew Supervisors on classroom instruction and field supervision.
- Onboard new Crew Supervisors and interns, co-develop professional development plans, and manage credentials.
- Approve timesheets and ensure adequate staffing for classes and projects.
- Assign Crew Supervisors to work engagements and social enterprise contracts in coordination with Project Managers.
- Track Crew Supervisor capacity, credentialing, and attendance to anticipate project needs.
- Support Crew Supervisors in preparing participants for on-the-job training.
- Track participant hours and process payroll weekly, verifying timecards and submitting approved hours.
- Coordinate participant internship placements with external host partners from start to finish.
- Serve as the day-to-day contact for host-site supervisors, addressing concerns and tracking intern progress.
- Ensure Crew Supervisors maintain complete and accurate records in Salesforce.
- Monitor unit performance against goals weekly and address attendance, retention, and completion risks.
- Raise systems and access barriers promptly to ensure reporting and compliance obligations are met.
Requirements
- At least three years of operations or program management experience.
- At least two years directly supervising staff, preferably in workforce development, social enterprise, or a fee-for-service contract environment.
- Demonstrated experience running the day-to-day operations of a physical site, including opening and closing procedures, vendor coordination, and real-time problem solving.
- Experience building and adjusting staff schedules across competing priorities and shifting project calendars.
- Working knowledge of timekeeping and payroll processes, purchasing, and expense reconciliation.
- Willingness to work with people of different cultures and backgrounds, including individuals affected by the criminal legal system, housing insecurity, and substance use.
- Comfort operating in a trauma-informed, participant-centered environment.
- Experience building, documenting, and implementing processes.
- Strong digital skills and experience documenting in a CRM (Salesforce), Google Suite, and Zoom.
- Excellent oral and written communication and organizational skills with strong attention to detail.
- Problem solver, solution oriented, flexible and adaptable.
