About the Role

Brookfield Asset Management is seeking a dependable and service-oriented Office Services Assistant to support day-to-day operations in its Toronto office. This role is integral to delivering a consistent, high-quality workplace experience in a fast-paced, client-facing environment, supporting all areas within the Office Services department.

Responsibilities

  • Complete scheduled daily mail runs, including pick up and drop off all mail and courier packages.
  • Support daily mail operations, including processing and tracking of outgoing courier requests and inbounding internal deliveries.
  • Maintain office supply inventory and coordinate timely restocking with vendors.
  • Process printing and binding requests.
  • Coordinate regular updates to office bulletin boards and display materials.
  • Perform minor maintenance, troubleshooting, and repair tasks on workplace equipment and amenities.
  • Liaise with building management and external vendors to address maintenance and service requests.
  • Assist with onboarding logistics, including workspace setup and access coordination.
  • Coordinate with cleaning, catering, and office services providers to ensure service quality and consistency.
  • Support adherence to health and safety standards and emergency procedures.
  • Provide professional front desk coverage, including greeting clients and visitors and managing guest registration.
  • Coordinate visitor access in accordance with building security protocols and internal procedures.
  • Answer and direct incoming calls with a high level of professionalism and discretion.
  • Manage meeting room bookings and coordinate catering requirements.
  • Ensure pantry and common areas are consistently clean, organized, and well-maintained.
  • Assist with event coordination and execution.
  • Provide coverage across multiple floors and teams based on business needs.
  • Provide ad hoc administrative support.
  • Adapt to shifting priorities while maintaining a high standard of service.

Requirements

  • 2–5 years of experience in mail, reception, or facilities support within a corporate environment.
  • Strong communication and interpersonal skills with a professional, client-facing approach.
  • Highly organized with the ability to manage multiple priorities in a fast-paced setting.
  • Demonstrated ability to handle sensitive information with discretion.
  • Post-secondary education required.

Skills

  • Proficiency in Microsoft Office Suite (Outlook, Word, and Excel)
  • Experience in financial services or a professional services environment (Preferred)
  • Familiarity with visitor management systems and building access protocols (Preferred)
  • Experience supporting large, multi-floor office environments (Preferred)
  • Strong service orientation and attention to detail
  • Professional presence and sound judgment
  • Flexibility and adaptability across responsibilities
  • Proactive approach to problem-solving
