About the Role

This position provides administrative, compliance, and tenant-service support for Low Income Housing Tax Credit housing operations. The role requires accurate, professional, and confidential performance of duties in accordance with program requirements, agency policies, and Fair Housing laws. The individual will strive to create a healing environment that respects the perspectives and experiences of all individuals served.

Responsibilities

  • Respond to phone and email rental inquiries within two business days.
  • Provide information regarding properties, programs, eligibility requirements, and application procedures.
  • Process rental applications, including issuing status notices and following up on documentation.
  • Monitor the Community Rental App email account and respond to inquiries.
  • Schedule initial screening appointments with prospective tenants.
  • Prepare initial screening paperwork and establish screening files.
  • Obtain credit reports, criminal, and sex offender background checks.
  • Assist with follow-up on outstanding initial screening documentation.
  • Prepare Move In lease paperwork after finalization by the Property Manager.
  • Enter required information into spreadsheets and prepare correspondence upon completion of the move-in process.
  • Monitor the Recertification List and issue tenant notices within required intervals.
  • Maintain accurate recertification tracking records.
  • Schedule recertification screening appointments with tenants.
  • Review tenant files for prior income and asset information and prepare recertification paperwork.
  • Assist with follow-up on outstanding recertification documentation.
  • Prepare recertification lease paperwork after finalization by the Property Management Specialist.
  • Enter required information into spreadsheets and prepare correspondence upon completion of the recertification process.
  • Assist with quarterly apartment inspections, documenting concerns and notifying the Property Management Specialist.
  • Maintain organized and accurate office filing systems and tenant files.
  • Maintain confidentiality of applicants, tenants, and property records.
  • Assist with processing reasonable accommodation requests.
  • Monitor sprinkler system inspections and update/distribute documentation.
  • Assist with preparing information for audit findings or citations.
  • Enter and maintain accurate information in property management software systems.
  • Stay current with applicable compliance requirements and Fair Housing laws.
  • Follow all safety rules and regulations.
  • Perform other duties as assigned.

Requirements

  • High School Diploma or GED with at least one year of administrative support experience, or an associate’s degree in Secretarial Science.
  • Working knowledge of computer programs (Microsoft Word, Excel, Outlook, etc.).
  • General clerical knowledge.
  • Clean NYS driving record as outlined in Lakeview's personnel policy.
  • Willingness to learn and possess the knowledge, values, attitude, and skills required to contribute to a trauma-informed community.
